Position Overview: A growing wealth management firm is seeking a Client Onboarding Specialist to join their team. The role involves welcoming new clients, ensuring a smooth onboarding process by preparing business applications, obtaining necessary signatures, and coordinating with advisors and third parties. This position is critical in maintaining a compliant and efficient workflow, while building strong client relationships. Key Responsibilities:
Prepare all necessary documentation, including applications, forms, and authorizations, prior to client meetings.
Collaborate with advisors to execute client instructions, obtain signatures, and process paperwork through systems such as DocuSign and Fidelity Wealthscape.
Maintain clear, professional communication with clients, advisors, clearing firms, and third-party providers to ensure timely business processing.
Track and manage submitted business, ensuring timely follow-up and resolution of outstanding items.
Report progress during weekly staff meetings and ensure all onboarding tasks are efficiently processed.
Provide onboarding training to administrative staff and ensure advisor licensing and training requirements are met.
Correspond proactively with clients regarding pending business and respond to inquiries promptly.
Qualifications:
Bachelor's degree required.
Minimum of 3+ years of experience in the financial services industry, preferably in a client-facing or onboarding role.
Proficiency in Microsoft Office, CRM systems, DocuSign, and financial software platforms.
Strong written and verbal communication skills.
Excellent organizational and problem-solving abilities, with the capacity to prioritize tasks in a fast-paced environment.
Enthusiasm for client service and teamwork.
