Executive Administrative Assistant to CEO (Temp to Perm)
Full-Time | Monday-Friday, 8:30 AM - 5 PM
We're seeking a seasoned Executive Administrative Assistant with exceptional organizational skills and a high level of professionalism to support our CEO and executive team. This role is vital in helping our nonprofit run smoothly by managing executive workflows, preparing board materials, and providing comprehensive administrative support. If you have 10+ years of experience supporting C-suite executives, a background in nonprofit, and the ability to stay one step ahead of the CEO's needs, we'd love to meet you.
Key Responsibilities:
Board Support: Record and prepare minutes for Board of Directors meetings and committee meetings held every other month. Coordinate and compile board materials for review.
Executive Team Assistance: Aid the Executive Administrative Assistant in managing executive calendars, coordinating travel, and preparing agendas and meeting minutes.
CEO & Executive Support:
Maintain the CEO's calendar, schedule appointments, and coordinate meetings with a proactive approach.
Arrange and manage travel logistics for executive team members, including flights, accommodations, and itineraries.
Track and follow up on tasks assigned by the CEO, ensuring accountability and completion.
Organize and maintain administrative files, ensuring easy access and retrieval.
Handle expense reports and reimbursements for the executive team with accuracy and confidentiality.
Required Skills and Qualifications:
Experience: 10+ years of executive administrative support experience at the C-suite level, preferably within nonprofit or corporate environments.
Skills: Exceptional typing (60+ wpm) and proficiency in Microsoft Excel, Outlook, and PowerPoint.
Communication: Strong verbal and written communication skills, with a keen attention to detail.
Education: High school diploma or GED required; bachelor's degree in business administration preferred.
Flexibility: Standard business hours, with occasional nights and weekends as needed.
