We are seeking an experienced and proactive SeniorExecutive Assistant to provide high-level administrative to the CEO and other C-Suite Executives. In this role, you will exercise confidentiality, tact, and diplomacy while working closely with the leadership team on daily business operations, events planning, project coordination, and sensitive matters. This position requires a professional who thrives in a dynamic environment and is capable of handling complex tasks with minimal supervision.

Supporting the CEO and 1-2 additional Executives
Key Responsibilities:
Provide comprehensive administrative support to the CEO, including managing travel arrangements, preparing expense reports, and developing presentations and proposals.
Oversee day-to-day office functions, ensuring efficient operations by handling tasks such as scheduling, mail management, office supplies, and catering coordination.
Manage executive calendars and travel logistics, coordinating across multiple time zones to ensure seamless scheduling.
Organize and execute complex meetings, conference calls, and events, including preparing agendas, materials, and post-event follow-ups.
Facilitate the onboarding process for new employees and business partners, keeping key stakeholders informed and up to date.
Partner with Human Resources to handle confidential executive-level projects and initiatives.
Administer collaboration and document management platforms like Teams and SharePoint, maintaining accurate and accessible records.
Utilize Microsoft Office tools to produce polished documents, spreadsheets, and presentations with exceptional accuracy and efficiency.
Act as a liaison between the CEO and key internal and external contacts, fostering strong communication and relationship management.
Identify and implement process improvements to enhance workflow, streamline operations, and support company objectives.
Perform additional duties as needed to support evolving business needs.
Qualifications:
Bachelor's degree preferred (not required); an associate's degree or equivalent experience is required.
Minimum of 7+ years of consistent executive administrative experience, preferably within manufacturing, logistics, or technology sectors.
Experience supporting executives in a global organization or high-growth environment is highly desirable.
Superior attention to detail with a demonstrated ability to anticipate executive needs and proactively address them.
Excellent organizational, time management, and multitasking skills, with the ability to prioritize and execute tasks in a fast-paced environment.
Strong communication skills, both written and verbal, with the ability to interact professionally across all levels of the organization.
Proven track record of working independently, maintaining accountability, and driving process improvements.
Ability to accommodate global executive schedules, with flexibility to support across time zones.
Advanced proficiency in Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint) and experience with travel management tools.
Other Requirements:
Notary Public certification, or willingness to obtain within three months of employment.
Experience using Concur or similar travel and expense management tools.
Expertise managing executive travel logistics, including both domestic and international arrangements.
Comfort in a dynamic work setting, with the ability to adapt to changing priorities and business needs.
