The Position:
This is a newly created Administrative Assistant role designed to support a growing tax/accounting team, which has recently expanded. This position is essential to ensuring smooth operations, especially as the team gears up for the busy tax season. The role provides administrative support across a range of tasks, from document management to client communication, and is ideal for someone with strong organizational and prioritization skills who thrives in a professional services environment.
Primary Job Functions:
Support the tax/accounting team by managing document organization, client communication, billing, and administrative tasks.
Scan, organize, and file documents and notices related to tax filings.
Draft and send engagement letters to clients, ensuring timely communication and proper documentation.
Assist in generating billing, tracking time, and ensuring that hours are logged accurately for each client.
Collate tax returns, manage e-signature processes (DocuSign), and distribute finalized documents to clients.
Log into relevant tax systems and assist with payment submissions as directed by the tax team.
Provide ad hoc support to the tax/accounting team as needed, handling requests and ensuring effective workflow across the team.
Required Skills:
Preferably 2+ years experience as an administrator or coordinator in a CPA firm; candidates from other professional services environments (e.g., law firms) who are familiar with engagement letters, document handling, and client billing processes will also be considered.
Understanding of basic tax terminology and processes, allowing for efficient communication and task handling within the team.
Demonstrated ability to manage multiple tasks, prioritize effectively, and maintain attention to detail in a fast-paced environment.
Self-starter mentality with a willingness to assist team members across a range of administrative tasks, with minimal supervision.
Compensation: $65,000 - $80,000 plus benefits
