Keystone Experts & Engineers is seeking a temporary Administrative Support Specialist to work in our beautiful Castle Rock, Colorado office. This is a temporary W-2 position for a period of 4-6 weeks, with the potential for extension.
In this role, you will be a key member of our team. You will learn the front and back-end functions of the assignment process so that you can assist with all aspects of the assignment: accepting & creating assignments; making initial calls, and packaging and submitting reports.
This role offers a competitive salary of $20/hour. Your customer service and administrative skills can truly make an impact as we deliver essential support to communities affected by Hurricane Helene.
What you will do as a Keystone Administrative Support Specialist:
Answer incoming calls, accept and process incoming assignments and assume other receptionist duties when needed.
Create assignments in company database
Establish initial contact with clients and/or assignment contacts to confirm the scope of work and time frame for the engineering inspection.
Format formal documents and other correspondence to ensure font and style, pagination and numbering are consistent with Keystone's quality control requirements. This includes: correspondence with clients, engineering and expert resumes, engineering, and expert reports... etc.
Control all aspects of project documentation on multiple simultaneous projects, utilizing various control methods/systems.
Prepare, operate and update Document Control Procedures in line with the Company's Document Management System.
Ensure proper document control support is given to each project.
Produce and maintain Document Progress Reports to Project Managers.
Ensure all documentation provided is as per Client quality formatting requirements.
Create Document Control and correspondence folders for individual projects.
Work in strict co-operation with the Project Manager to ensure project progress status integration.
Ensure all templates used with the department conform to the Company standard.
Contributes to the team effort by accomplishing related tasks as needed
Work in strict co-operation with all Keystone staff to ensure project progress status integration.
The ideal candidate will have the following qualifications:
High school diploma or GED equivalent
Availability to start immediately and flexibility to work evening and weekend overtime hours, as needed.
Excellent written and verbal communications skills and a passion for superior customer service.
Ability to work in a fast-paced environment and adhere to tight deadlines by organizing, prioritizing and completing multiple tasks.
Tech-savvy across multiple software platforms, ideally including working knowledge of Google Workspace.
