About the Firm:
Founded in the 1980s, this growing private equity firm recently established its Miami branch office and is now expanding its administrative support. This new Executive Assistant / Office Administrator role is critical to ensuring a smoothly run office and efficient executive support as the Miami team continues to grow.
Role Overview:
As the firm's sole administrative support professional in the Miami office, this individual will handle a blend of Executive Assistant (EA) and Office Administrator responsibilities. They will work closely with a diverse team of Partners, VPs, and Associates providing critical support in both daily operations and administrative tasks.
The ideal candidate is adaptable and willing to take on tasks of any size, can handle fluctuating workloads as office activity levels change throughout the year, and is comfortable in an environment with varying levels of foot traffic.
This position offers quality of life hours (9a-5p) and the flexibility to work from home on select Fridays during the slower times of the year.
Responsibilities:
Responsible for representing the team in a professional and personable manner through in-person, phone and written communication.
Handle expense reporting for all Miami office employees, using Concur.
Maintain office and kitchen supplies, manage inventory, and coordinate lunch orders.
Prepare conference rooms for meetings, manage office and conference room calendars, and oversee room bookings.
Coordinate visitor access with building security, ensure proper protocols for entry, and greet guests upon arrival.
Collaborate effectively with team members across multiple office locations to ensure seamless communication and coordination.
Arrange travel for executives, as needed.
Liaise with IT to troubleshoot and resolve tech issues as they arise.
Maintain detailed record keeping, and assist with any special projects when needed.
Qualifications:
4+ years of administrative experience supporting the day to day operations of an office and exposure to supporting executives.
Able to handle fluctuating work volume and comfortable working in an office that varies in activity throughout the year (busier in winter, quieter in summer).
Comfortable working independently in a smaller office environment, often with fewer than five people present during the summer months.
Confident communicator who can professionally engage with executives, guests and internal team members.
Proficient in using office software; experience with Concur is a plus.
Brings positive energy to the office, maintains a professional demeanor, and is highly reliable.
Bilingual: Fluency in Spanish is a plus, though not required.
Base Salary: $80k- $100k plus bonus, 401k (with match) and additional benefits/perks.
