The office manager is an emotional stabilizer for the team and our patients. They can make order out of chaos and keep calm when there are multiple things going on at once. They can explain finances and ledgers accurate and explain them confidently and with calmness to patients. While it is extremely rare, they can calm an upset patient and explain things in a way that De-escalate a situation and always portray our goodwill. The team already understands how to manage most day to day activities. I take care of the patients clinical needs. The office manager must take care of the patient's finances by learning and becoming a ninja with our Chirotouch software. You will also manage a team of 2-3 who need to manage the patient's treatment schedule and keep them on track with their care so the patient receives the improvement they paid for. The manager sometimes has to fight fires and find solutions at a moment's notice. Emotional outbursts are never acceptable and neither is disrespect, but I have an open door policy and am self-aware and humble enough to accept feedback. I am fully aware that it's the doctor who creates the most challenges in a medical office, and want my team to run as smoothly as possible.

Responsibilities
  • Learn and understand how to use all office software. We use Chirotouch, Google docs, Canva and others
  • Oversee stock of office supplies
  • Work with our bookkeeper to track expenses
  • Track statistics
  • Help the office transition from systems designed for a single-doctor practice to a multi-doctor practice (within 2 years) and a multi-location practice (within 5-10 years). A good office manager would transition from a manager position to a COO position at that point.
  • Coordinate inbound and outbound office mail
  • Review care plans and financials with patients (care plans range is 4 months to 1yr and are typically around 3-4k per patient.
  • Many all other tasks pertaining to keeping an office running as discussed with the doctor.

Qualifications
  • 2+ years of managerial experience. Dental office preferred.
  • Experience with administrative and clerical work Proficiency in Microsoft Office suite / Google Docs
  • Strong communication skills
  • Strong ability to multitask
  • Friendly and upbeat demeanor
  • Fully on-board with a holistic approach to health
