Compensation: $100-120K base salary | $130-170K total compensation
Overview:
We are seeking a highly organized and proactive Executive Assistant to provide support to two teams (~8 people total), with a primary focus on supporting a Portfolio Manager (PM). This role requires someone who can manage complex scheduling, respond to high volumes of vendor emails, and maintain research files. A key aspect of the role is assisting with corporate access points, such as coordinating roadshows, field trips, and external broker meetings.
Key Responsibilities:
1. Team Support:
Calendar Management: Handle coordination of internal/external meetings, manage Corporate Access events, resolve calendar conflicts, and plan holistic schedules.
Email Management: Respond to and prioritize PM emails; review vendor emails to identify valuable opportunities and conferences.
Meeting Support: Coordinate and attend weekly team meetings and town halls; take detailed notes and manage action items.
Travel & Expenses: Prepare detailed travel itineraries, book accommodations, and process corporate credit card transactions.
2. Corporate Access Collaboration:
Event Coordination: Schedule roadshows, field trips, Investor Relations (IR) calls, and quarterly IR updates.
Corporate Access Monitoring: Maintain and update a Watchlist for key events and conferences; track schedules and ensure all meetings align with investment strategies.
Broker Relationship Management: Collaborate with external brokers to set up meetings with the PM for potential investments.
3. Ad-Hoc Support:
Onboarding & Exits: Assist with onboarding new team members and managing team exits.
Broker Vote: Participate in bi-annual Broker Vote.
Portfolio Manager Support: Handle special requests, coordinate with Help Desk for any technical needs, and provide general team assistance as needed.
Qualifications:
Previous experience as an Executive Assistant supporting a team or senior leadership, preferably in finance or investment management. Minimum of 3-5 years experience required.
Bachelor's Degree required.
Proven experience scheduling roadshows, field trips, and working with corporate access or having exposure to corporate access activities.
Strong organizational and communication skills, with the ability to prioritize tasks effectively.
Experience working with external brokers and managing high volumes of emails from vendors.
