ABOUT YOU:
We are seeking an Executive Assistant to provide support to various members of leadership. This role will be pivotal in ensuring that the executives' schedules, priorities, and communications are efficiently managed, allowing them to focus on strategic initiatives and business growth. The ideal candidate will thrive in a fast-paced environment, be highly organized, and have a strong understanding of the tech and/or data security landscape.
RESPONSIBILITIES:
Manage and optimize the extremely active daily schedules, including coordinating meetings, conferences, and travel arrangements (both domestic and international).
Provide administrative support to the leadership team, such as handling office correspondence, drafting emails, and managing calendar invites.
Act as the primary point of contact between the executives and internal/external stakeholders, ensuring smooth communication flow.
Prioritize and track deadlines, key initiatives, and business goals, ensuring timely follow-ups.
Handle confidential information with discretion and professionalism.
Prepare agendas, presentations, and materials for executive meetings, ensuring all attendees are briefed and prepared.
Take detailed meeting minutes and track action items, ensuring timely execution by responsible parties.
Assist in the planning and execution of team meetings, offsites, and company events as needed.
Arrange complex travel itineraries and accommodations for both executives, ensuring cost-effectiveness and comfort.
Process expense reports and manage reimbursement submissions in a timely manner.
Maintain a filing system for digital and physical documents, ensuring easy access to important materials.
REQUIREMENTS:
Previous experience as an Executive Assistant, Personal Assistant, or similar role, preferably within a tech start-up or fast-paced environment.
Proficient in Microsoft Office, Google Suite, and project management tools (e.g., Asana, Trello). Experience with expense management software is a plus.
Terrific communication skills - written and verbal - with the ability to represent the executives professionally.
Exceptional organizational skills, with the ability to manage multiple priorities and deadlines.
A proactive approach to identifying issues and offering creative, timely solutions.
Team player who is trustworthy with the ability to handle sensitive information with the utmost confidentiality and discretion.
Fast learner who thrives in a fast-paced environment and is comfortable adjusting to changing priorities.
Able to prioritize tasks effectively and work efficiently under pressure.
