The Program Manager will play a critical role in supporting the Executive Director in the planning, implementation, and evaluation of foundation programs and initiatives. This includes overseeing day-to-day project management, ensuring effective communication across teams, and maintaining focus on deadlines for major events, including a live fundraising concert in 2025. The ideal candidate will also assist with social media and public relations efforts, ensuring alignment with campaign goals and providing administrative support such as taking meeting minutes and notes. KEY RESPONSIBILITIES
Program Coordination: • Assist the Executive Director in planning and implementing foundation programs, events, and initiatives. • Monitor and evaluate program performance to ensure alignment with the foundation's mission. • Develop timelines and work plans for foundation projects, ensuring milestones are met.
Project Management: • Assist the Executive Director in planning and coordination of the foundation's live fundraising concert in 2025, overseeing vendor management and event logistics. • Track project progress, manage vendor communications, and ensure deadlines are met. • Coordinate and manage cross-functional teams to ensure smooth execution of programs and events.
Social Media Management: • Work closely with the social media and PR teams to prepare for upcoming initiatives and campaigns. • Ensure alignment with the foundation's messaging and goals, providing input on content and strategy. • Assist in managing social media calendars, PR timelines, and coordinating promotional efforts.
Administrative Support:
Provide administrative assistance to the Executive Director, including scheduling meetings, preparing meeting agendas, taking meeting minutes, and managing correspondence.
Maintain accurate records and files related to programs and fundraising activities.
Assist in the preparation of grant proposals and reports.
Organize and maintain records of all program and event-related documentation.
Provide general administrative support to the Executive Director and other departments as needed.
Reporting & Communication:
Provide regular updates to the Executive Director on program and project status.
Prepare reports and presentations on program performance, event progress, and social media/PR outcomes.
Keep internal teams on task and ensure everyone remains aligned with deadlines and objectives.
Fundraising Assistance:
Support the planning and execution of fundraising events and campaigns.
Help identify potential donors and sponsors.
Track fundraising progress and provide updates to the Director.
Enter donor information into the donor database.
QUALIFICATIONS:
Bachelor's degree in Nonprofit Management, Business Administration, Communications, or a related field.
Minimum 3-5 years of experience in program or project management, ideally in the nonprofit sector.
Strong organizational and multitasking skills with an eye for detail.
Excellent communication skills, both written and verbal.
Familiarity with social media and PR management, including campaign planning and execution.
Experience with vendor management and event planning.
Ability to work collaboratively and independently, managing multiple projects simultaneously.
Proficiency in Microsoft Office, project management tools, and social media platforms.
PREFERRED SKILLS:
Experience in the nonprofit sector, particularly with veteran-focused organizations.
Knowledge of grant writing and fundraising strategies.
Familiarity with event production, especially live events and concerts.
