Job Description:

Robert Half is working with an exciting law firm in Concord seeking an Executive assistant. Embrace an exciting opportunity to support the legal and corporate activities of a high-performing real estate lawyer for a thriving real estate development and asset management company. Your role involves various administrative tasks, enabling you to showcase your multi-tasking abilities, attention to detail, and excellent organizational skills.

Key Responsibilities:
  • Scheduling: Efficiently managing calendars, scheduling appointments, and coordinating meetings.
  • Communication: Screening, routing phone calls and emails, and professionally communicating with clients, both in-person and electronically.
  • Document Preparation: Skillfully drafting, proofreading, and filing legal documents such as purchase and sale agreements, leases, lease amendments, financing documents, and related real estate transaction documents.
  • Correspondence: Effectively managing correspondence, responding to clients, and typing letters.
  • Transaction Management: Diligently creating and maintaining transaction files, tracking satisfaction of contingencies, escrow requirements, and closing dates.
  • Corporate Record Keeping: Prudently maintaining corporate books and records for investment entities such as limited liability companies, limited partnerships, and corporations, ensuring all entity filings are up-to-date.
  • Office Management: Transcribing daily time sheets, drafting monthly client billing statements, ensuring smooth office function, managing bill payments, and handling copying, scanning, and fax work.

Required Skills and Qualifications:
  • Ability to thrive in a fast-paced environment.
  • Exceptional written and verbal communication skills.
  • Word processing ability of 58 to 80 words per minute with high accuracy.
  • Excellent attention to detail and strong organizational skills.
  • Proficiency in Microsoft Office, particularly Word and Excel.

Preferred Skills and Qualifications:
  • College degree or certification as a legal assistant.
  • Familiarity with Sharefile, Docusign, and Interbill billing software.
