Job Description:
The Manager of Administrative and Facilities Services will play a key role in overseeing administrative support and managing facilities for various office locations. This individual will supervise daily operations, collaborate with senior management, and ensure that all facilities are well-maintained and aligned with company standards. Reporting to the Director of Administration and Facilities, this position also involves coordinating with local Office Directors and Senior Managers to drive operational success.
Key Responsibilities:
Lead and develop administrative and facilities teams across assigned locations, providing coaching and performance management.
Determine staffing requirements for both teams and Principals, facilitating team effectiveness.
Conduct annual performance reviews, setting clear and motivating goals for team members.
Identify and address training needs, coordinating with HR and Learning & Development for professional growth.
Align team objectives with company goals through regular collaboration with senior leadership.
Ensure facility maintenance, security, and safety standards are met by working closely with building management.
Manage seating arrangements and space utilization in assigned offices.
Oversee projects related to office moves, renovations, and space reconfigurations.
Collaborate with Office Directors to establish and update local budgets.
7-9 years of relevant experience, including at least 5 years in administrative management (staffing, hiring, team development).
Prior experience in a professional services environment is a plus.
Strong skills in project management, planning, budgeting, and team collaboration.
Proven ability to manage multiple projects effectively and motivate team members.
Excellent communication and presentation skills.
Willingness to travel domestically and internationally up to 20% as needed.
Flexibility to work evenings or weekends, with notice.
Additional Details:
Hybrid role with office presence required in downtown Chicago.
Standard hours are Monday-Friday, 8:30 am - 5:30 pm.
