We are partnering with a private investment firm seeking a proactive and highly organized Personal Executive Assistant to support 3-4 professionals in their Family Investment Office. This role is essential for maintaining seamless administrative support for the family, office, and visiting clients. The ideal candidate is adept at handling confidential information, managing complex schedules, organizing documentation, and assisting with financial and foundation activities.
Key Responsibilities:
Administrative & Organizational Support:
Provide direct support to senior executives and family members.
Maintain calendars and schedules with meticulous attention to detail.
Oversee a comprehensive filing system for office and personal records.
Financial & Accounting Support:
Facilitate signatures for wire transfers, checks, bill payments, and legal documents.
Assist with year-end financials for tax reporting and annual family meetings.
Prepare reports, partner binders, and other essential documents.
Communication & Coordination:
Serve as a communication liaison for family office staff and visiting managers.
Coordinate family and foundation meetings, including multi-generational family sessions.
Interface with family office employees on the scheduling and upkeep of out-of-town properties.
Family Activities:
Work with the family foundation consultant on donations, charity research, and board approvals.
Manage the family art collection
Assist with family matters and events
Qualifications:
5+ years of experience as a personal/executive assistant, preferably out of a family investment or investment management environment.
Bachelor's degree preferred.
Strong multitasking, numeric, editorial, and organizational skills.
