As a Lead Office Services Associate, you will manage a team of office service associates, ensuring timely task completion and providing exceptional support to all employees. Your primary responsibilities include maintaining a clean, organized, and professional office environment while delivering high-quality customer service. The ideal candidate will demonstrate excellent leadership skills, attention to detail, and a customer-centric mindset. This role reports to the Client Relations Manager or Client Relations Director.
Essential Job Functions:
Team Supervision & Coordination
Lead, train, and supervise the office service team to ensure efficient office operations.
Assign tasks and responsibilities to team members, distributing the workload effectively.
Conduct performance evaluations, provide constructive feedback, and recognize outstanding performance.
Foster a positive team culture, promote collaboration, and encourage continuous improvement.
Office Maintenance & Organization
Ensure overall office maintenance and organization, keeping the environment clean, presentable, and professional.
Monitor and manage office supplies, stationery, and pantry items, restocking as needed.
Coordinate with janitorial and maintenance staff to schedule cleaning and upkeep tasks.
Implement organizational systems to enhance office efficiency and accessibility.
Customer Service & Support
Deliver exceptional customer service to employees, responding promptly to inquiries and requests related to office services.
Serve as the primary point of contact for office-related issues, utilizing problem-solving skills to address and resolve concerns.
Identify and implement improvements to office services, incorporating employee feedback.
Vendor Management
Liaise with external vendors to ensure the timely delivery of contracted services, including janitorial and maintenance.
Maintain vendor relationships, negotiate contracts, and optimize service quality and cost-effectiveness.
Regularly evaluate vendor performance, addressing issues to ensure high service standards.
Office Events & Logistics
Assist in planning and coordinating office events, meetings, and conferences, managing logistics such as room setup, catering, and AV needs.
Collaborate with departments to facilitate event logistics, ensuring successful outcomes.
Prepare meeting rooms, presentation materials, and resources in advance for seamless event execution.
Training
Participate in training programs, including the Cornerstone platform, to enhance skills relevant to the Lead Office Services Associate role.
Position Requirements/Experience/Education:
High school diploma or equivalent; college degree preferred
2-3 years of relevant experience
Strong understanding of client inquiries and effective response techniques
Proficiency with Microsoft Office products and applications
Ability to deliver added value to clients and maintain confidentiality
Positive attitude, team-oriented, with relationship-building skills
