Looking for a personable, professional assistant to help manage executive's personal and professional activities. The ideal candidate will be someone eager to grow professionally in a fast-paced, dynamic environment.
Duties and Responsibilities:
Manage professional and personal scheduling, including agendas, mail, email, calls, travel arrangements, meetings, client management, and other logistics
Coordinate complex scheduling and extensive calendar management, consisting of both personal and professional appointments, as well as management of content and flow of information
Manage, coordinate, and arrange personal and professional travel and travel-related activities, including hotel booking, transportation, meal coordination, client-meeting scheduling, and generating expense reports
Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, mail sorting, inventory keeping, and maintenance of filing system and contact database, while helping to keep office and business rooms clean and organized
Facilitate effective personal and professional time-management through acting as a first point of contact for manager, dealing with correspondence and phone calls, keeping a list of outstanding to-do items and following up on a daily basis, managing agendas and deadlines, and reminding manager of important tasks
Plan personal and company events, both onsite and offsite, and manage pre, during, and post-event logistics
Organize, attend, and manage client-facing and partner events as a company representative who performs all pre, during, and post-event logistics
Organize team and client communications in conjunction with and on behalf of manager
As required perform project management and program management tasks to drive different initiatives
Take ownership of preparing presentations that can be used by the manager and others in the organization.
As and when required present to internal and external audience in leu of the CEO
Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
Coordinate with administrative and operations team in India
Perform other miscellaneous duties as and when required

A Liberal Arts Degree (in Psychology, Sociology, Business Administration, Communications, or similar) is preferred
2 to 5 years of experience in a professional administrative setting is preferred
