Position Overview:
The Customer Support Coordinator, under the direction of the Customer Care Manager, provides vital administrative support to the operations and service functions. This role involves communication with suppliers and warehouses, processing paperwork, and ensuring seamless coordination of outbound shipments.
Key Responsibilities:
Coordinate outbound shipments by communicating daily with warehouses and issuing required paperwork.
Confirm prior day's shipments and process the associated documentation.
Enter freight costs into orders for prepaid and add shipments.
Assist Customer Service Representatives with inventory allocation as needed.
Review the daily "no-show" list (shipments scheduled but not picked up) and communicate status updates to customers.
Electronically file all customer order and shipment-related documents using DocuWare.
Monitor the customer care group email and respond to inquiries promptly.
Support order entry processes as necessary.
Perform other general administrative tasks to support customer service operations.
Qualifications:
High school diploma or equivalent required.
2-3 years of related office experience.
Skills:
Language Skills:
Ability to read and interpret purchase orders, shipping documents, and freight rate tables.
Strong professional communication skills for customer and team interactions.
Mathematical Skills:
Proficient in basic arithmetic, including calculations for discounts, percentages, and volume.
Technical Skills:
Beginner proficiency in Microsoft Excel (data entry, basic formulas).
Intermediate proficiency in Microsoft Outlook for email and task management.
Work Environment and Physical Demands:
Primarily office-based, with regular use of standard office equipment such as computers and phones.
Physical demands include sitting for extended periods, occasional standing, walking, and reaching.
Must occasionally lift or move office supplies up to 10 pounds.
Vision requirements include close vision and the ability to adjust focus.
