Your Role: Administrative Coordinator
We're looking for an energetic and detail-oriented Administrative Coordinator to join our team in Fairview, NC. In this full-time, on-site role, you'll play a pivotal part in keeping our operations running smoothly by overseeing financial, administrative, and organizational tasks with precision and professionalism.
What You'll Do:
Banking and Financial Tasks:
Conduct daily reviews of bank balances and initiate transfers as needed.
Perform General Journal entries, reconcile accounts, and manage bills.
Set up and maintain vendor wire templates.
Deposit checks into appropriate accounts with accuracy and timeliness.
Accounts Receivable:
Monitor and follow up on past-due accounts to ensure prompt payment.
Send clear, professional statements to customers with outstanding balances.
Accounts Payable:
Process payments for all business-related and personal bills.
Conduct wire transfers to vendors and maintain organized accounts payable files.
Review invoices for accuracy, resolve discrepancies, and identify any extra fees.
Other Financial Responsibilities:
Manage and file NC Sales Tax, CA Sales Tax, and Ohio State Royalty Reports.
Prepare and submit Quarterly NC Withholding, Quarterly 941, and Quarterly NCSU101 reports.
Assist with credit references for customers requesting terms.
Ensure accuracy in the input of Sales Orders (SO) and Purchase Orders (PO).
Review all financial transactions to ensure proper calculations and entry into accounting software, such as Sage.
General Office Management:
Keep the office organized and efficient by ordering and maintaining supplies.
Take on additional administrative duties as needed to support the team and business operations.
What You Bring to the Table:

Proven ability to stay organized in a fast-paced environment with excellent attention to detail.
Strong proficiency with Microsoft Office (Excel, Word, Outlook).
Familiarity with financial reporting and accounting tools like Sage (a plus!).
A high school diploma or equivalent (an Associate's or Bachelor's degree is a plus).
Bonus Points for experience in the embroidery or promotional products industry - but not required!
