Plans, coordinates and performs administrative, business management or support service activities. Supervises student employees and serves as HR interface for these students. Serves as primary room reservation and class registration coordinator. Other duties as assigned.
JOB DUTIES:
30% - Essential - Student Supervision: Supervises student employees at the Concierge Help Desk and in the Executive Suite. Assigns daily tasks and coordinates special projects as needed. Collects resumes, conduct interviews, manages and completes the hiring paperwork for students. Manages HR paperwork for student staff including requests for payrate changes, hour changes, accounting codes and classification changes for students. Oversees orientation for all Center student employees and interns. Attends HR training to stay current on all University HR procedures. Manages building access and confidentiality agreements for students.
25% - Essential - Room and Registration Coordinator: Schedules fall, spring, and summer classes hosted in the Watt Center in Banner. Coordinates with the Associate Director Academics assignment of class space in the Center. Serves as primary point of contact for Center class space allocation. Works with multiple stakeholders to coordinate scheduling for Center activities to include: classes, group meetings, workshops, for faculty, staff & students, outside events. Creates and enters Center specific courses into the Banner system. Attends trainings to learn and stay current on University Registration procedures. Communicates with the faculty member and registration coordinator when the courses have been assigned. Manages Center space reservation system (currently Libcal) and trains student employees to assist.
20% - Essential - Administrative Support: Serves as the primary point of contact for the Office of the Executive Director. Provides administrative support for effective coordination of the Executive Director and Associate Director activities. Serves as the administrative liaison, communicating directly and on behalf of the Director with administrative, academic, staff and other programmatic initiatives. Supports major social management and academic events, provides research, and works on special projects as needed. Composes and prepares confidential correspondence. Provides oversight and coordination for external meetings and follow-up activities. Provides support and coordination of the Director's activities associated with operations of the Center with accuracy and confidentiality.
20% - Essential - Office Management & WFIC Support: Manages all office supplies for the Center. Organizes and manages parking, security and catering for meetings, workshops and visiting guests. Coordinates with the Building Security Coordinator. Serves as the point of contact for all Center events. Coordinates and works with the Associate Directors to develop policies and procedures for administration of the center and the center's programs. Ensures compliance of laws, rules and regulations applicable to the center.
5% - Essential - Communication, Development, Outreach: Works with Marketing Publications and Public Relations to ensure that all information about the Center's activities are current. Reviews and approves written communications prior to dissemination including Center events and related activities. Coordinates Center tours. Coordinates with Center leadership to review tour requests, assigns tour guides, communicates information to the tour group, and creates handout packets for Center staff to provide to tour groups. Coordinates staff and partner meetings as needed.
MINIMUM REQUIREMENTS:
Education - High School or Equivalent - and relevant experience in business management, public administration, or administrative services or a bachelor's degree may be substituted for the required work experience.
PREFERRED REQUIREMENTS:
Education - Bachelor's Degree - Business Administration, Communications or related area.
