Terms of Employment • W2 Contract, 12 months • This position is hybrid. The office is located in Washington, D.C. • Tuesday, Wednesday, and Friday are in-office days. • Core hours are 9AM-3PM • Travel is required for team meetings and site visits (1-2 times per month). • Local candidates only
Overview • Our client is seeking a Junior Project Management Analyst (PMA) to support the Distribution Program Management Office (DPMO). The Junior PMA will assist the Sr. Project Manager who is responsible for a variety of electric utility distribution programs and projects, primarily in the Washington D.C. area. • The perfect candidate would have a good mix of analytical, office administration work, and Project Manager experience with utility experience as a plus.
Responsibilities • The Project Management Analyst (PMA) is anticipated to have the following duties and responsibilities:
Project and Stakeholder Communication • Create and maintain stakeholder registers. • Send meeting invitations, create meeting agendas, record and distribute meeting minutes. • Develop and maintain action item logs, follow-up on action items. • Contract Management Support • Develop and maintain contracts and change order register by project. • Enter contract requisition requests and contract change requests into procurement software, including attaching all necessary backup documentation. • Communicate with vendors regarding expectations and deadlines, answer questions from vendors on payment status. • Review and process invoices for approval, including communicating with vendors to resolve issues. • Coordinate with project cost analyst to determine vendors that may have missing invoices and follow up to obtain required information.
Project Administration • Maintain project accounting log of all project IDs and related codes. • Submit estimate requests through the project management software system, including all required documentation. • Project Closure • Run reports and coordinate actions from the various systems to support the closure of projects including requesting PO closure, work order closure, and final invoicing.
Required Skills & Experience • Bachelor's degree and 3+ years of experience. • Proficient in Microsoft Office Suite. • Proficient in Asset Suite 8, Unifier, MS PowerBI, and MS SharePoint. • Strong analytic skills including specific experience with advanced functions in Excel (V-lookups, pivot tables, equations). • Ability to deal with high volumes of orders in an organized manner. • Detail-oriented, timely, dependable, and effective communicator. • Proven ability to produce error-free work under defined deadlines. • Ability to work on multiple projects simultaneously and manage ambiguity. • Team player with strong initiative, intrinsically motivated, works autonomously. • Ability to build effective relationships with internal and external stakeholders. • Commitment to a diverse and respectful workplace environment.
