Schedule: Monday - Friday 8:00 AM - 5:00 PM or 9:00 AM - 6:00 PM (1-hour unpaid meal break)
Overview: Our client, a nonprofit organization fighting against hygiene poverty in the state of Colorado, is seeking a full-time Executive Assistant to support the President and executive team. This position will provide administrative support, ensuring efficient operations day-to-day. This Executive Assistant requires excellent communication skills, attention to detail, and the ability to manage multiple tasks with discretion and a high level of professionalism. This position is hybrid 2-3 days/week. The office is located in Arvada, but may require initial training in Evergreen, CO.
Responsibilities:
Provide administrative support to the executive team, including scheduling meetings, managing calendars, and handling correspondence
Prepare reports, presentations, and other documents as needed
Serve as the primary point of contact between the executive team and internal/external stakeholders
Coordinate and manage communication flow, ensuring timely responses and follow-ups
Organize and coordinate meetings, including preparing agendas, taking meeting minutes, and ensuring follow-up on action items
Assist in planning and executing organizational events, board meetings, and fundraising activities
Support key organizational projects by tracking deadlines, coordinating tasks, and ensuring timely completion
Collaborate with team members and departments to facilitate project-related communications
Maintain and organize confidential files and records, ensuring that all documentation is accurate and up to date
Draft and edit correspondence, reports, and other documents for executive review
Arrange travel, accommodation, and itineraries for executive team members
Handle logistics for conferences, meetings, and speaking engagements
Assist in tracking budgets and managing expense reports for the executive team
Work with the finance department to ensure timely submission and reconciliation of expenses
Support the board of directors by coordinating meetings, preparing board packets, and maintaining board records
Communicate and follow up with board members as needed
Build and maintain positive relationships with donors, partners, and community stakeholders
Identify opportunities to improve administrative processes and implement solutions to enhance efficiency
Assist in developing and refining office policies and procedures
Handle sensitive information with the highest level of confidentiality and discretion
Represent the organization with professionalism in all interactions
Qualifications:
3 + years' experience as an executive administrative assistant or in a similar role preferably for a nonprofit organization
Bachelor's degree in Business Administration, Communications, or a related field preferred
Highly proficient in Google Suites, Asana, QuickBooks, and CRM (preferably Bonterra/Every Action)
Excellent verbal and written communication skills
Strong organizational and multitasking abilities
Ability to work independently and as part of a team
High level of professionalism and confidentiality
Familiarity with basic accounting principles preferred
Knowledge of industry-specific terminology and practices
Ability to anticipate needs and provide proactive support
