ESC has an exciting contract-to-hire opportunity for an experienced Executive Administrator to work onsite in Woodland Hills, CA, for our premier client, a global provider of packaging solutions. The Executive Administrator provides high-level administrative support to the President and C-Suite executives, ensuring seamless day-to-day operations. This role demands a proactive, detail-oriented individual capable of exercising sound judgment, managing sensitive information with discretion, and effectively handling competing priorities under tight deadlines.
Key Responsibilities:
Calendar & Scheduling Management: Coordinate and manage executive calendars, including scheduling meetings, conference calls, and appointments.
Travel & Expense Reporting: Arrange domestic and international travel itineraries; manage and reconcile expense reports.
Communication Liaison: Serve as a point of contact between the executive team and internal/external stakeholders, ensuring effective communication.
Meeting Coordination: Prepare agendas, reports, and presentations; organize and facilitate meetings, including logistics and follow-ups.
Document Management: Draft, proofread, and distribute correspondence, reports, and other executive communications.
Office & Project Support: Assist in special projects and company initiatives; ensure alignment with business priorities.
Confidential Information Handling: Maintain strict confidentiality of sensitive company and employee information.
Qualifications & Experience
Education: Associate degree or equivalent experience preferred.
Experience: At least 5 years of experience providing executive-level support to a C-Suite in a matrixed organization, preferably in a fast-paced corporate environment.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Communication Skills: Exceptional written and verbal communication skills; ability to create polished presentations and correspondence.
Organizational Skills: Strong multitasking and time management skills; ability to meet deadlines under pressure.
Interpersonal Skills: Strong influencing and interpersonal skills, with the ability to build relationships across all levels of the organization.
