As the Asset Manager, you will oversee the management, operational efficiency, and strategic planning for a mixed portfolio of retail, commercial, and residential properties. You will be the primary point of contact for property matters, handling day-to-day communication with tenants, vendors, and internal teams. This role requires an organized and strategic professional adept at responding to over 200 emails per day, managing insurance for multiple property types, and overseeing bidding and negotiation processes. An extensive background in industrial leasing, construction, and property management is essential to drive operational success and tenant satisfaction.
Key Responsibilities:
Portfolio & Property Management:
Oversee and manage a diverse property portfolio, including retail, commercial, and residential properties, ensuring optimal performance, tenant satisfaction, and financial stability.
Conduct regular property inspections and work closely with property managers to address and resolve any maintenance, safety, or compliance issues.
Track and maintain insurance coverage for all condo buildings, apartment complexes, and other properties, ensuring compliance with company policies and regulatory requirements.
Ensure consistent and high-quality standards across all properties by working with contractors, service providers, and maintenance teams to uphold company standards.
Tenant & Client Relations:
Serve as the primary point of contact for tenants, promptly addressing inquiries, concerns, and service requests via phone, email, and in-person meetings.
Maintain strong relationships with tenants, ensuring timely lease renewals, satisfaction, and resolution of any tenant issues.
Coordinate tenant move-ins and move-outs, ensuring a smooth transition and minimizing vacancy periods.
Work with legal and lease administration teams to ensure lease compliance and timely renewal processes.
Bidding & Vendor Management:
Solicit, evaluate, and negotiate bids from vendors and contractors for property maintenance, improvement projects, and capital expenditures, ensuring cost-effective and high-quality service.
Manage the selection and supervision of vendors for landscaping, cleaning, security, and other services required across properties.
Develop and maintain strong vendor relationships to ensure consistent service quality and timely issue resolution.
Ensure all contracts align with company standards and regulatory requirements and oversee contract renewals and terminations as needed.
Insurance & Risk Management:
Track and verify insurance documentation for all properties, ensuring each meets the requirements and stays current.
Proactively address any insurance gaps, collaborating with insurance providers to ensure adequate property coverage.
Review, maintain, and update insurance requirements and documentation for each property on an annual basis or as needed.
Work closely with the legal team to address risk management, liability concerns, and insurance claims, minimizing risk exposure for the company.
Financial Management & Budgeting:
Develop, manage, and track annual operating budgets for assigned properties, ensuring adherence to budgetary goals.
Analyze financial reports, income statements, and monthly and quarterly expenses to ensure financial goals are met and make adjustments as needed.
Identify cost-saving opportunities without compromising service quality and tenant satisfaction.
Provide senior management with regular updates on the financial performance of the portfolio, highlighting key metrics, variances, and recommended actions.
Construction & Project Oversight:
Lead construction projects, renovations, and property improvements from conception through completion, ensuring timelines, budgets, and quality standards are met.
Collaborate with architects, engineers, and contractors to develop project plans, secure necessary permits, and adhere to regulatory requirements.
Conduct project site visits to monitor progress, address issues, and ensure compliance with safety and quality standards.
Resolve construction-related issues and provide real-time solutions to keep projects on schedule and within budget.
Industrial Leasing & Real Estate Expertise:
Manage leasing activities for industrial properties within the portfolio, including tenant prospecting, lease negotiations, and agreement execution.
Stay updated on market trends, industry regulations, and competitor activities in the industrial leasing sector.
Leverage market knowledge to recommend leasing strategies that optimize occupancy rates and maximize revenue.
Collaborate with leasing agents and brokers to drive tenant acquisition and retention for industrial properties.
Administrative & Communication Management:
Respond to and manage a high volume of daily emails (200+), ensuring timely and accurate communication with all stakeholders.
Prepare detailed property status reports, maintenance logs, and other documentation as required by senior management.
Maintain comprehensive records of tenant correspondence, property performance, budgets, and project timelines.
Develop and implement efficient workflows to manage communication effectively, prioritize tasks, and address urgent matters promptly.
Compliance & Regulatory Adherence:
Ensure all properties comply with local, state, and federal regulations, including health, safety, and environmental standards.
Prepare and submit regulatory reports as needed, and manage inspections to maintain compliance.
Work with legal and compliance teams to address regulatory issues and ensure that properties meet all legal requirements.
Review lease agreements, insurance documents, and vendor contracts to ensure they align with company policies and regulatory standards.
Qualifications:
Education: Bachelor's degree in Real Estate, Business, Construction Management, or a related field; a Master's degree or relevant certifications (e.g., CPM, ARM) is a plus.
Experience: 10+ years of experience in property management, with an extensive background in industrial leasing, construction, and management of mixed-use portfolios.
Technical Skills: Proficient in property management software, Microsoft Office Suite, and budgeting tools; experience with construction project management software is advantageous.
Knowledge: In-depth understanding of retail, commercial, and residential property management, insurance requirements, and compliance regulations.
Communication: Excellent verbal and written communication skills, with the ability to manage high email volumes and maintain clear communication with all stakeholders.
Negotiation Skills: Proven ability to negotiate effectively with vendors, tenants, and contractors, securing favorable terms and quality services.
