We are seeking an organized, proactive, and professional Administrative Assistant to support business operations in our Bakersfield office. This position reports to our Senior Executive Assistant/Logistics and Certifications Director. This is a full-time, onsite position located in Bakersfield, CA.
Responsibilities
Provides general administrative support that could include (but is not limited to) answering phones; data entry, filing, responding to emails; procuring, coordinating, and tracking office supplies and equipment; preparing forms and documents; coordinating/scheduling meetings; making travel arrangements (e.g., flight, hotel, vehicles, etc.); preparing and processing expense reports; facilitating the scheduling of drug tests; etc.
Assists in the application and maintenance of various Federal, State, and Commercial certification requirements, while maintaining compliance (e.g., DBE, MBE, SBE, SLBE, etc.)
Assists in the application and maintenance of business licenses, annual registration renewals, professional memberships, subscriptions, etc.
Creates, reviews, and manages reports, documentation, and spreadsheets.
Develops and updates logs and records (e.g. files, online files, etc.) following established procedures.
Assists with purchasing tasks including the review of invoices and maintaining records.
Prepares and reviews meeting agendas, meeting minutes, and coordination between staff as needed.
Assists and coordinates office and facilities management as instructed.
Drives to various locations to complete errands, as needed (e.g., FedEx, Post Office, stores, etc.)
Performs other duties as required.

Minimum Qualifications
High School Diploma, GED, or equivalent.
Knowledge of office management systems and procedures.
Working knowledge of traditional office equipment.
Must be licensed to operate motor vehicles in accordance with California law.
Proficiency with Microsoft Office suite (e.g., Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
Preferred Qualifications
Bachelors degree in Business Administration or related field.
2+ years of related experience working in an administrative assistant role performing similar duties.
Advanced proficiency with Microsoft Office suite (e.g., Outlook, Word, Excel, PowerPoint, Teams, and SharePoint).
Compensation Details
The salary range listed for this role is $17-22/hr. The final salary offered is based on multiple factors and is thoughtfully aligned with each candidates level of experience, breadth of skills, total education achieved, certifications/licenses that have been obtained, etc.
