The Clinical Practice Supervisor is responsible for the efficient flow of the operational aspects of patient care, reporting directly to the Nurse Manager at BWH, Foxborough. This position will oversee day-to-day clinical flow operations for Medical Assistants which includes managing and improving functions of patient flow, staff notification, clinical competencies, POC lab management, daily schedules, onboarding new staff and inventory control. This position will provide coverage for staff vacancies as needed and within reason. Serves as an immediate resource for patients/customers intervening with complaints related to staff and patient flow. Works independently solving issues in a timely manner. Interact with individuals at all levels of the department and the organization. In conjunction with the Nurse Manager, Practice Manager and Medical Director, creates an effective management team with a focus on quality patient service, satisfaction quality management and efficient cost-effective operations.
1. Operations Responsibilities
• Ensure efficiency and productivity with respect to clinical functions of the Medical Assisting staff. Allocates staff through constant monitoring of daily activity; assigns specific individuals to necessary tasks and sets priorities.
• Monitor accuracy POCT. Make recommendations for improvements/enhancements for specimen processing and lab efficiencies. Conducts audits to ensure proper compliance and confirmation procedures are taking place.
• Monitoring of policy and procedure and workflow compliance as it relates to the duties of the Medical Assistant.
• Identify problems with flow and meeting patient's needs, and identifies potential improvements to better serve care access for patients.
• Demonstrates excellent discretion and judgment needed to act independently with decision-making responsibilities. Must be able to problem-solve independently and provide communication to the Nurse Manager.
• Manages telephone services according to departmental standards, and hospital service standards.
• Oversees ordering all necessary clinical supplies and equipment for the practice to insure the availability prior to their arrival while being fiscally conscious.
• Responsible for use and oversight of all clinical inventory; including vaccines and their storage.
• Maintains patient confidentiality according to hospital standards.
• Assures compliance with BWH, BWPO, TJC, CLIA, state and federal regulations.
• All other duties as assigned. Cross-coverage as necessary.
2. Human Resource Responsibilities
• Supervisory responsibility of approximately 25 FTE's. May vary with the needs of the practice.
• Demonstrates knowledge of and oversees implementation of Medical Assistant and employee policies.
• With the Nurse Manager and Practice leadership, participates in the selection of new MA staff and in the coordination of orientation and onboarding
• Participates in the preparation and delivery of yearly performance appraisals with the Nurse Manager.
• Responsible for annual clinical competencies and Health Stream monitoring with Nurse Manager, as needed, for Medical Assistants.
• Development and training of MA competencies and processes to improve quality of patient experience. Identifies quality issues.
• Delegate duties to others in the department based on skills and workload.
• With Practice Leadership, conducts staff meetings and compiles and communicates meeting minutes.
• Works with daily schedules and provider coverage, monitors vacation requests and coverage.
• Assures appropriate staffing and coverage to meet all needs. Assists with or provides coverage when staffing levels are not sufficient.
3. Clinical Equipment
• Oversees maintenance of lab and EKG equipment, and supply inventory.
• Coordinates maintenance and repairs.
4. Other General Responsibilities
• Participates and leads special projects as assigned by the Nurse Manager, maintains flexibility regarding workload and the needs of the department.
• Acts as intermediary between physicians and staff.
• May be asked to cross-cover (may be in-person or virtual) other Primary Care practices as staffing needs dictate. Cross-coverage needs will be identified and discussed with local and regional leadership.
ADDENDUM TO CLINICAL PRACTICE SUPERVISOR JOB DESCRIPTION
The Clinical Practice Supervisor is responsible for the efficient flow of the operational aspects of patient care, reporting directly to the Nurse Manager of the Foxboro Multispecialty Clinics. Coordinates and oversees the activities of the multispecialty clinics and clinical team members to ensure compassionate, effective, and efficient delivery of high-quality clinical care for our patients.
1. Operational Responsibilities
• Develop and maintain staffing schedules.
• Receive staff tardy/out calls and reassign staff as necessary.
• Serve as a clinical back up in the event of a staffing need due to vacations, illnesses, lunches coverage, etc.
• Organize and assign duties to clinical team members.
• Oversight of medication inventory, expirations, and ordering.
• Collaborates with inventory controller/CPD staff to ensure availability of supplies, instruments, and scopes.
• Assure compliance with JCAHO regulatory requirements.
2. Human Resource Responsibilities
• Supervisory responsibility of approximately 25-30 FTE's. May vary with the needs of the practice.
• Evaluate performance of clinical team members
• Deliver performance evaluations to staff after 90 days and annually.
• Participate and conduct disciplinary action as needed and in conjunction with the nurse manager.
• Completes weekly payroll by deadline.
• Responds to staff time off requests.
• Monitor daily performance of clinical team members.
• Assist with or conduct periodic staff meetings with team members.
3. Other Responsibilities
• Participates and leads special projects as assigned by the Nurse Manager, maintains flexibility regarding workload and the needs of the department.
• May be asked to cross cover in various FXB Multispecialty clinics as needed.
Qualifications
• Must be a graduate of an approved Medical Assistant School/Program.
• Must be a certified Medical Assistant.
• Prior supervisory experience preferred.
• Must have thorough understanding of clinical flow and knowledge of medical terminology.
• Must complete the BWH POCT SME training within 6 months of hire.
Qualifications
• At least 5 years of experience in the clinical delivery of health care services and/or Medical Assisting required
• Must be a graduate of an approved Medical Assistant School/Program
• Must be a certified Medical Assistant
• Prior supervisory experience preferred
• Must have thorough understanding of clinical flow and knowledge of medical terminology. (Deleting as these are skills, and many are listed under the next section)
• Must complete the BWH Immunization training within 6 months of hire
• Must complete the BWH POCT SME training within 6 months of hire
