The Sales & Catering Coordinator provides administrative support to the director and managers of the sales & marketing department. This position works closely with the sales team to support key selling functions that allow sales managers to more efficiently secure business. There will be additional support to the Banquet and F&B departments.
Job Description
DUTIES AND RESPONSIBILITIES:
Provide high level administrative support for office, including but not limited to phone coverage, call screening, appointments, scheduling meetings, copying, reports, monitoring office supplies, and equipment maintenance
Serve as communications link among staff and outside associates, respond to questions, relay messages and provide detailed follow through on all requests.
Performs general administrative duties including typing, filing, word processing, and answering phones.
Processes all paper flow in and out of the department. Maintains a filing system or reports and pertinent hotel records.
Assists and provides support to the Sales & Catering Managers with contracts, proposals, letters, processing of booking recaps, definite contracts, deposits, rooming lists, and providing all necessary information to other departments
Coordinate with Finance to ensure deposits are collected on-time for groups and events.
Assists and provides support to Director and Managers of food & beverage operations to include restaurant inquiries and private events.
Efficiently handle all inquiries in absence of Director and Managers.
Assist in making hotel reservations as necessary for clients and/or Sales Managers.
Ability to coordinate and respond to a variety of requests, assuring that all deadlines are met.
Responsible for the coordination of in-house meetings and events.
Adheres to all Sonesta Service Standards.
