Office Specialist- Special ProgramsDescription/Job Summary

Reporting to the Coordinator for Special Programs, the Office Specialists for Special Programs is responsible for providing support for the Mayor's Scholars, and other programs. The Office Specialist may also provide direct services to students during day, evening, and periodic weekend hours. Additionally, the Office Specialist performs reception services as assigned. The Office Specialist also performs back-office functions such as filing, copying, and other like responsibilities.

Responsibilities/Duties

Must be detail oriented and possess good organizational and communication skills. Office Specialist must have the ability to perform multiple functions simultaneously. Basic computer skills (i.e.: use of a keyboard and mouse; familiarity with the MS Office suite) are preferred. Office Specialists must be able to successfully perform reception, data entry and filing processes. This position often downloads and reviews student records to ensure accuracy. This position must always maintain confidentiality of student information and records as detailed by FERPA.

Required Skills

Provide general information to students and others regarding the onboarding and registration processes. Ability to provide office functions such as making copies, filing, data entry and other back-office functions as assigned. Maintains files/filing systems for the office. Maintains general appearance/orderliness of department office. Other related duties as assigned.

Required Qualifications

  • High School Diploma

  • One-year related experience in an office or customer service environment.

  • Strong customer service skills.

  • Strong organizational skills and attention to detail.

  • Strong oral and written English communication skills.

  • Proficiency with MS Office software applications required, specifically MSWord and Excel.

  • Some experience working in a multi-cultural and multi-lingual environment.

  • Some experience using a multi-line phone system.

Preferred Qualifications

  • Two or more years of related experience in an office or customer service environment.

  • One year experience working in a higher education environment.

  • Community College Experience.
