Job Summary:
The Real Estate Legal Secretary provides essential administrative support to attorneys specializing in real estate law. The role involves managing documents, preparing legal paperwork, scheduling, and communicating with clients, courts, and other parties involved in real estate transactions. The secretary ensures that all legal processes, including closings, property sales, lease agreements, and title issues, are completed smoothly and in compliance with legal requirements.
Key Responsibilities:
Document Preparation and Management:
Draft, proofread, and format legal documents such as contracts, leases, purchase agreements, deeds, and title documents.
Assist in the preparation of closing documents and ensure all paperwork is filed properly.
Prepare and review correspondence for clients, attorneys, and other stakeholders involved in the transaction.
Organize and maintain files, both electronic and physical, related to ongoing and completed real estate transactions.
Client Interaction and Communication:
Act as a liaison between clients, attorneys, and other parties, ensuring that communication is clear and timely.
Schedule and coordinate meetings with clients, real estate agents, mortgage brokers, and other professionals.
Answer phone calls, respond to emails, and provide clients with updates on the progress of their cases or transactions.
Legal and Transaction Support:
Conduct research on property titles, zoning laws, and other relevant legal matters for real estate transactions.
Coordinate the closing process, including obtaining necessary signatures, reviewing documents, and preparing final paperwork.
Assist in the preparation of real estate litigation materials, such as motions or pleadings, if applicable.
File and Database Management:
Maintain case management software and client databases to track progress, deadlines, and appointments.
File documents with courts, regulatory bodies, or other entities as required, ensuring timely submission.
Manage confidential information with a high degree of discretion and professionalism.
Scheduling and Coordination:
Schedule and manage attorney calendars, including meetings, court dates, and appointments with clients or third parties.
Ensure all deadlines for filings, documents, and client communications are met.
Coordinate appointments and meetings for the real estate team.
Skills and Qualifications:
Education: High school diploma or equivalent is required; an Associate's or Bachelor's degree in legal studies or a related field is preferred.
Experience: Previous experience as a legal secretary or paralegal, ideally in real estate law or related legal fields.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal document management software; familiarity with case management tools and databases.
Legal Knowledge: Strong understanding of real estate law, including contracts, deeds, leases, closings, title searches, and relevant state/local regulations.
Communication Skills: Excellent verbal and written communication skills to interact with clients, colleagues, and other professionals.
Attention to Detail: Ability to manage multiple tasks with accuracy and efficiency while ensuring deadlines are met.
Organizational Skills: Strong organizational skills to manage documents, schedules, and legal files
