Position Overview
As the Executive Assistant to the CEO at Scott Communities, you will play a crucial role in supporting executive leadership and ensuring the smooth operation of our real estate development projects. Your exceptional organizational skills, attention to detail, and ability to handle confidential information will be vital to this position.
Key Responsibilities
Executive Support
Provide high-level administrative assistance to the CEO and executive team
Manage complex calendars, schedule appointments, and coordinate meetings
Take detailed notes in meetings and diligently follow up on action items
Handle phone calls, emails, and correspondence efficiently
Project Management
Track and maintain project files accurately and in a timely manner
Organize and maintain a database of contacts, tracking critical dates and obligations
Assist in the preparation and execution of various agreements
Research and Analysis
Conduct research on real estate markets and land development matters in Arizona
Summarize findings and provide insights to support decision-making processes
Communication and Liaison
Act as the primary point of contact between the CEO, internal staff, and external business associates
Facilitate effective communication, ensuring all stakeholders are informed of project updates and deadlines
Travel Coordination
Plan and coordinate travel arrangements for the CEO, including detailed itineraries and accommodations
Confidentiality
Handle sensitive and confidential information with the utmost discretion, especially concerning legal matters and proprietary business information
Qualifications
0-5 years of experience as an Executive Assistant, preferably with a background in real estate or legal assistance
Exceptional organizational skills with a meticulous eye for detail
Outstanding written and verbal communication abilities
Proficiency in Microsoft Office suite, legal software, and other relevant productivity tools
Ability to thrive in a dynamic work environment, adapting to changing priorities
Collaborative and proactive attitude with strong problem-solving skills
