Administrative Assistant Project Coordinator with HVAC or Construction Experience

This is your opportunity to join a growing Heating Venting Air Conditioning contracting firm located in Central Islip, Long Island. The culture is phenomenal and offers a great opportunity to learn and move up within the company. The compensation package is excellent. The firm is seeking an Assistant Project Coordinator to support a brilliant Sr Project Manager and his staff of four. They require a qualified individual with a minimum of three years of experience. This experience should include having a mechanical aptitude within the HVAC / Refrigeration space. The ideal candidate needs to commit to five days in the office and should reside ideally in Nassau or Suffolk County.
Responsibilities:
The ideal candidate will offer estimates to two Project Estimators, one senior and one mid-level. The system that the firm uses is called ESUB which is a SharePoint CRM type system, this system houses subcontractors and does project tracking capabilities.
Assist in the development of project schedules and timelines
Assist the Sr PM in the analysis of construction plans, HVAC documents, scope of work, costs, and contracts
Work with project managers to understand and execute change order requests
Support in the preparation of proposals.
Communicate with subcontractors and vendors to request bids/quotes.
Qualifications:
Bachelor's degree preferred but high school or equivalent work experience will be accepted.
Previous role as an Assistant Project Coordinator preferably in the construction space would be a plus.
Be able to use Adobe software as a user to just to read draft drawings, measurements, and contractual agreements.
The ideal candidate should possess MS Excel, MS Outlook, and MS Word skills.
Strong communications skills and be capable of articulating with construction, HVAC, and electrical contractors.
Be detailed oriented.
Hours for this role are Monday to Friday 8:30am to 5:00pm. Twice a week the ideal candidate will be required to go to one of the firm's jobsites within Nassau or Suffolk County to have a one-hour meeting with the contractors to ensure that he / she can visually see the progress of a particular project.
The interview process will be one onsite meeting, and a decision will be made. This is an immediate permanent hire position.
