Office Manager

In office (Downtown Austin)

We're looking for a talented, proactive, and forward thinking Office Manager/ EA to join a highly visible CEO who works in the the public/commercial eye. This dual role is crucial for ensuring smooth office operations while providing support to our executive team. The ideal candidate will possess exceptional administrative skills, keen attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

Office Management:
  • Oversee daily office operations keeping a professional environment for staff and all the buildings tenants
  • Manage office supplies inventory, vendor/procurement, including building management supplies
  • Greeting everyone in the office, guests, staff, tenants, making sure they have everything they need daily
  • Own and oversee the maintenance/repairs for office equipment and facilities.
  • Organize company events and meetings, including reserving conference rooms for staff and building tenants.
  • Assist the accounting manager/controller with high-level accounting - making weekly deposits, distributing vendor checks, updating internal accounting tools.
  • Work with membership department on billing, collections, and member management.

Executive Assistance
  • Provide high-level administrative support to executives
  • Calendar management, travel arrangements, and expense reporting
  • Prepare and edit correspondence, reports, presentations
  • Conduct research and compile data for special projects and presentations.
  • Maintain confidentiality and handle sensitive information
  • Assist with documents, meetings, presence in office and with clients

Qualifications
  • Experience as an EA/Office manager for a CEO, OR C-Suite, ideally with some type of political agenda (could be association, governors office, public sector, real estate or property management, or lobbyist/elected officials)
  • Understanding of the Austin business Legislative process
  • Proactive, responsive, can work under tight deadlines and pressure
  • Strong in Word, Excel, PowerPoint, Outlook, and management software.
  • Excellent communication skills
  • Ability to work independently and collaboratively within a team.
