The Department Administrator plays a critical role in ensuring the smooth operation of departmental activities. This position requires a detail-oriented and organized professional with strong interpersonal and administrative skills to manage staffing, procurement, documentation, and coordination efforts.
Position Overview:
Role: Department Administrator
Pay Rate: $36-$37 per hour (weekly pay).
Contract Length: Until 12/26/2025, with the potential for extension or permanent conversion.
Key Responsibilities:
Vendor Coordination & Staffing Support:
Collaborate with staffing vendors to gather resumes for open positions.
Screen resumes and coordinate interviews with hiring managers.
Serve as the liaison between staffing vendors and internal teams.
Procurement & Documentation Management:
Submit and track purchase requisitions through internal systems.
Process documents for approvals and signatures electronically.
Maintain accurate meeting minutes and document transmittals to vendors.
Content Development & Data Organization:
Edit and format memos and presentations for professional distribution.
Create and maintain Excel templates for data tracking and reporting.
Event & Travel Coordination:
Manage schedules, meetings, and conference room bookings.
Organize travel arrangements and event catering.
Plan departmental events and celebrations.
Required Skills & Qualifications:
Education:
Bachelor's Degree (required).
Technical Skills:
Proficiency in Microsoft Excel (intermediate level).
Knowledge of MS Office Suite (Word, Outlook, PowerPoint).
Experience with MS SharePoint for collaboration and document management.
Communication Skills:
