We are looking for a proactive and detail-oriented Part-Time Administrative Assistant to provide comprehensive support to our CEO and the President. This role involves managing calendars, coordinating travel, and handling various administrative tasks while ensuring high standards of professionalism and confidentiality. The ideal candidate will be adaptable, organized, and able to manage multiple priorities effectively.
Key Responsibilities:
Calendar Management:
Coordinate and schedule appointments, meetings, and events for the President and CEO.
Maintain and update calendars to optimize scheduling and avoid conflicts.
Prioritize and adjust schedules as necessary to accommodate changing demands.
Travel Coordination:
Arrange and manage all aspects of travel logistics, including domestic and international travel.
Book flights, accommodations, and transportation, and provide detailed itineraries.
Prepare and organize travel-related documentation and requirements.
Administrative Support:
Prepare, coordinate, and manage communications and documentation for the President and the CEO.
Take meeting minutes, facilitate changes to daily events, and track key deliverables.
Follow up on outstanding items and act as a liaison for direct reports.
Manage phone calls, emails, and other communications with discretion and confidentiality.
Serve as a liaison between the President, CEO, and internal/external stakeholders.
Coordinate and manage events, leadership visits, and other meetings.
Send meeting confirmation emails, prepare and distribute meeting materials, and handle all logistics.
Qualifications:
Proven experience as an executive administrative assistant supporting managers at the executive level.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
Strong organizational skills with the ability to prioritize tasks, manage time effectively, and accommodate different working styles.
Excellent written and verbal communication skills with high attention to detail.
Ability to react with appropriate urgency and maintain composure in fast-paced, high-pressure situations.
Strong problem-solving skills and a can-do attitude with a willingness to work effectively under tight deadlines and in complex situations.
Education & Experience:
High school diploma or equivalent required; additional training or certification in office administration is a plus.
Minimum of 2 years of experience in an executive administrative support role.
Compensation:
Competitive hourly rate based on experience.
