SoftBank is making significant investments in infrastructure for AI. SoftBank Corp. has recently established a new US center in Silicon Valley, focused on infrastructure software for AI and AI foundations for mobile networks. Our goals are to challenge the norms and create products making use of our SOTA infrastructure and cloud-native software. These products are geared towards centralized AI data centers as well as distributed AI Radio Access Network (AI RAN) data centers. Job Description

We are seeking a detail-oriented and proactive Administrative Specialist to join our new team in Sunnyvale, CA. The ideal candidate will provide comprehensive administrative support to ensure the smooth operation of our AI projects. This role is primarily on-site and requires a candidate who thrives in a collaborative and fast-paced office environment.

Key Responsibilities
  • Manage day-to-day administrative tasks, including scheduling, correspondence, and document preparation.
  • Support team meetings, including agenda preparation, meeting minutes, and follow-up actions.
  • Coordinate travel arrangements and expense reporting for team members.
  • Assist in onboarding processes for new team members and maintain team resources.
  • Be the single point of contact for administrative tasks, collaborating with cross-functional teams to ensure seamless communication and operational efficiency.
  • Organize team events and functions including on-site workshops, off-site team meetings etc. Coordinate scheduling with internal and external stakeholders.
  • Handle procurement and manage inventory for office and project-related supplies.
  • Monitor and update project-related documentation and records.

Requirements

Must-Haves:
  • Proven experience in an administrative role, preferably supporting technical teams.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • Excellent written and verbal communication skills.
  • Proficiency in office software, including Microsoft Office Suite and project management tools.
  • Self-motivated with a high level of professionalism and attention to detail.
  • Ability to work on-site in Silicon Valley.
  • Ability to work effectively in a global environment, including collaborating with teams in different time zones and navigating cultural differences.

Preferred:
  • Previous experience working at a tech company.
  • Basic knowledge of IT and hi-tech.
  • Experience in handling communications or tasks involving global stakeholders, including parent companies or headquarters located internationally (e.g., Japan).
