The Role
Lithko Contracting is seeking a polished, proactive, and organized professional who enjoys a fast-paced environment to join our team as an Administrative Assistant. Admins at Lithko are responsible for accurate, timely payroll and other duties surrounding employee record management. They also provide general office support through direct guidance from the Project Executive.
Key Responsibilities
Perform timely and accurate data entry and processing
Time and quantity: Communicate with Project and Field Leads to collect time, material quantities, and execute accurate data entry. Create adjustments or shortages as necessary to correct payroll errors.
Coworker employee files: Maintain files via ADP including new entry and changes, direct deposit, vacation requests, documentation, pay rate- adjustment, and truck allowance management.
Subsistence process: Communicate with appropriate resources to execute per diem, rapid pay cards, and expense reports.
Conduct new hire orientations
Deliver all information regarding benefits, policies and procedures to new and existing coworkers and validate their comprehension.
Complete I-9 and E-Verify paperwork accurately and in accordance with government rules and regulations in a timely manner.
Provide administrative support to assigned project and Project Executive.
Act as the primary contact for all office correspondence and walk-ins
Order location office supplies, IT equipment, print materials, catering, and Lithko Apparel Orders; maintain upkeep of office equipment
Approve overhead invoices, report on weekly hours, coordinate schedules for financials, manage online craft recruiting and walk-in applications
Collaborate with marketing to showcase the local team's hard work and projects by capturing photos, videos, and project information for social media and the website, coordinate drone photography as needed
Requirements and Qualifications
At least 3 years of experience in administrative roles including payroll and time keeping. A working knowledge of payroll including withholding tax, overtime laws and regulations is preferred.
Must be fluent in English and Spanish.
Must be proficient in Microsoft Office including Excel, PowerPoint, and Outlook.
Experience with ADP preferred.
Ability to handle sensitive and confidential information with integrity and trust.
Excellent verbal and written communication skills.
Ability to independently manage time, prioritize tasks, and stay organized.
