Job Description:

Under the general direction of the Asset manager, and within established hospital and departmental guidelines, the Inventory Controller, Lead, performs activities associated with the service improvement of the Endoscopy rooms at BWH, BWFH, and 850 Boylston Street. These assets and inventory support the Endoscopy Centers at all of the sites listed. This individual will coordinate the efforts to identify service issues in the assessment/replenishment process. Additionally, this person will coordinate the ongoing reassessment of supply areas and make profile changes as necessary. This role will also provide assistance to the IR and CDIC group as well, when needed.


Actively supports the delivery of high-quality customer service. Works with customers and department staff to implement measurable improvement to services to increase customer satisfaction and cost effectiveness.



Duties & Responsibilities



  • Under the direction of the asset manager, manages all operational aspects of applicable clinical area and stock room, ensuring required coverage and availability of appropriate stock items and equipment as required by clinical staff.

  • Work with the customers to identify any specific needs or concerns. Provide general customer service and coordinate with Materials Management Supervisors and Managers to ensure proper and timely product and service delivery; work with technical and nursing supervisors to customize or develop programs to meet their needs.

  • Works with Asset Manager and clinical staff (technical and nursing) to help effectively coordinate product par levels assessment, and availability; assist in providing updated product information to the Asset Manager; provide informational tools for staff to allow seamless transition through product and par level changes.

  • Maintain database integrity of all supply areas and equipment; perform all supply area audit request; maintain record of all requests; ensure seamless transition of product edits; inform Materials Management Managers, Supervisors and Staff of changes to supply areas and equipment as necessary.

  • Participates in new product evaluations as new requests come in (at the direction of the Asset Manager). Attempts to balance the competing needs of clinical effectiveness, fiduciary responsibility, and space management dedicated to inventory.

  • Assists in managing the implant asset inventory of the clinical inventory by monitoring accuracy through cycle counts and monthly cost variance reports.

  • Assists in developing staffing pattern to ensure all departmental needs are met and monitor productivity of the staff and resolves problems as necessary.

  • Assists Asset manager in collecting and analyzing utilization, standard deviation, replenishment reports and demand request logs to determine where changes can be made to supply/linen area profiles; prepare reports for management which indicate service improvement opportunities and the most cost-effective mix of linen and supplies.

  • Maintain cordial and effective relationships with vendors. Coordinates maintenance and repairs as needed.

  • Assists in maintaining regulatory compliance by execution of policies that promote appropriate implant tracking and supply storage methods. Monitors expiration dates and alerts vendors of non-functionality of equipment / supplies.

  • Participates in applicable inventory and equipment recalls for the Endoscopy, CDIC and IR departments and ensures appropriate communication to the vendor and Risk Management as necessary.

  • Assists in developing department policies and procedures and ensures that they are within hospital policies, meet regulatory guidelines, and industry standards.

  • Works with a diverse group of individuals, Prime vendor, Management, Nursing and Physicians

  • Maintains accurate entry of supplies and equipment used in cases through Epic preference card management and maintenance of scanning capabilities.

  • Assumes other related duties as needed.






Qualifications


  • High School degree required; college degree preferred.

  • Experience in operations, preferably in a health care setting, required.

  • Some supervisory experience helpful.

  • Experience in analysis and data interpretation and presentation, preferred.

  • Skills with databases and PC applications, including spreadsheets and graphics, required.

  • Knowledge of PeopleSoft, or other equivalent system required.

  • Excellent verbal and written communication skills.

  • Requires excellent interpersonal, influential and organizational skills.

  • Must have the ability to take initiative, work independently and prioritize.

  • Ability to work in a fast paced and stressful environment.

  • Ability to work non-standard shift.

  • Must be able to work non-standard shift on occasion.

  • Must be able to lift 50 pounds.

  • Must be able to push/pull 800 lbs. using manual pallet jack.

  • Must be able to assemble and reconfigure shelving and associated hardware.

  • Must have the ability to adjust to operational changes including service and schedule changes.
