The Office Administrator is a cornerstone of Layer 9's operations, ensuring our team functions at its best by handling both day-to-day logistics and long-term projects. This role is ideal for someone who has a knack for identifying what's important, creating order out of complexity, and consistently delivering solutions that move the needle.
We're looking for a proactive problem-solver with the tenacity to dig into challenges and the judgment to know where their time and focus will make the biggest impact. From vendor management to payroll preparation, you'll tackle a diverse range of tasks that require both precision and follow-through.
Roles and Responsibilities
Office Management • Manage procurement processes, vendor relationships, and inventory with a focus on resourcefulness and cost-effectiveness. • Oversee fleet operations, ensuring maintenance schedules, documentation, and vehicle use align with company needs. • Coordinate facilities management to maintain a functional and professional work environment.
Administrative Support • Assess payroll-related data, including expenses and sales commissions, for accuracy and timeliness. • Manage and respond to incoming calls, ensuring professional communication and prompt resolution of inquiries. • Assist executives by organizing schedules, preparing impactful presentations, and supporting special projects. • Plan and execute team events with attention to detail, creativity, and precision.
Financial Coordination • Prepare and verify sales tax reports, ensuring compliance with all deadlines. • Analyze vendor invoices and deliver clear, actionable reports to support decision-making. • Identify opportunities for cost-saving measures and process improvements.
Team Support • Serve as a point of contact for benefit-related questions, bridging the gap between employees and benefit providers. • Support team onboarding processes, ensuring new hires have a seamless transition into the organization. • Foster a sense of order and accountability by maintaining clear policies and documentation.
Qualifications
Experience • 3+ years in an administrative or office management role with a proven ability to prioritize effectively and deliver results. • Demonstrated success in identifying opportunities for operational improvement and implementing practical solutions. • Experience in technology-driven industries or Managed Service Providers (MSPs) is a strong plus.
