Professional Search Group (PSG) is looking for a Property Management Administrator that will provide essential administrative and operational support to the property management team. This role ensures the smooth day-to-day management of properties by assisting with tenant communication, documentation, financial tracking, and compliance. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to multitask in a dynamic environment.
Key Responsibilities:
Administrative Support:
Manage incoming inquiries, emails, and correspondence related to properties. Maintain organized records and files for all properties and tenants.
Tenant Relations:
Respond to tenant requests, inquiries, and complaints in a professional and timely manner. Coordinate repairs and maintenance services with vendors and contractors.
Lease Administration:
Assist with the preparation, distribution, and tracking of lease agreements, amendments, and renewals. Ensure all tenant documentation is complete and up-to-date.
Financial Tracking:
Support the property manager in tracking rents, processing payments, and issuing invoices. Reconcile financial records and prepare regular expense reports.
Compliance & Documentation:
Ensure property management activities comply with local, state, and federal regulations. Maintain records of inspections, certifications, and legal documents.
Vendor Coordination:
Manage relationships with contractors, suppliers, and service providers. Oversee vendor contracts, ensuring compliance with terms and timely completion of services.
Qualifications & Skills:
Education:
High school diploma or equivalent required; an associate's or bachelor's degree in business administration, real estate, or a related field is preferred.
Experience:
2+ years of experience in administrative roles, preferably in property management or real estate.
Familiarity with property management software such as Yardi, AppFolio, or Buildium is a plus.
Key Skills:
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Attention to detail and problem-solving capabilities.
Preferred:
Basic knowledge of property management principles and practices.
