Role Description

The CO-CEO, Nurse Practitioner, and President of Patient Wellness is currently managing all current financial, business, and people operations, in addition to her patient care and wellness responsibilities. Doctors Diet and MD Cosmedx has grown significantly since opening in 2007. The current patient and business demands are great and the forecast for significant growth in the future throughout the south-central Kentucky region is significant. Being an integral part of and helping Doctors Diet and MD Cosmedx manage the future growth is the key driver for this position.

This is a full-time, on-site, role located in Bowling Green, KY. Reporting directly to the Co-CEO and President of Patient Care, the Executive Director-Business & People Operations will be responsible for overseeing the business and financial operations as well as serving an integral role in the people operations. This person will primarily develop and implement strategies to drive business growth, manage financial performance, and ensure operational efficiency. The core skills of this position are focused on the financial, accounting, and payroll side of the business (65%); however, this person will also serve a key role in supporting the company's human resources, including recruiting, hiring, and employee development (25%). In addition, there will needed input involving Branding, Marketing, Promotions, Digital Operations and Social Media (10%).

The critical purpose of this position is to enable the Co-CEO and President of Wellness to dedicate her time and skills to patient wellness and care, in addition to ensuring and elite employee experience. To ensure the success of this position it is essential that it be onsite and regular weekend leadership is required.

Qualifications

Skills & Qualifications: This role is pivotal in supporting the patient care and wellness efforts of the practices. The individual in this position must have a high degree of integrity, resourcefulness, and professionalism with the ability to connect with colleagues and clients. Relationship building, client service, and the knack to follow up timely is critical for success. The ideal candidate will have relative experience, excellent communication, time management skills, and a wellness aptitude. The skills and qualifications required include:
  • Minimum of 3 years proven strategic management/leadership and operations experience in the health and wellness industry.
  • Top line capabilities with Microsoft 365 (but not limited to), Excel, Word, PowerPoint, Publisher, Etc.

• Bachelor's and/or master's degree in healthcare management/business/finance/Operations or similar.
  • Skilled in healthcare financial management (balance sheet, income statements, cost control and accounting).
  • Knowledge and experience with cloud-based software (SAAS) including HRIS, CRM, SAP (or other accounting and procurement software, building and maintenance and other software necessary to run a successful multi practice wellness business.
  • Excellent soft skills, similar to, but not limited to: initiative, enthusiasm, communication, adaptability, and ability to work calmly under pressure.
  • Top hard skills, similar to, but not limited to: planning and organizational skills, and report writing skills are a must
  • Proven experience in business and people operations
  • Strong leadership and management skills
  • Experience in the healthcare industry is a plus
  • Proven track record of success in driving business growth

Key Responsibilities and Accountabilities:

Establish and memorialize a consistent strategic financial approach to the business. Manage day to day balance sheets, income statements AR/AP, the budget to ensure a sound financial approach to the business, bank, and credit card reconciliations. Ensure strong vendor relationship and external stakeholders ties as they relate to the growth of the business and financial health and stability of the company.
  • Responsible for the planning, organizing, and directing of the organization's operations and programs.
  • Develops and implements consistent inventory and cost accounting policies, procedures, and operational reporting/metrics.
  • Payroll Management
  • Oversees and reports on the company results for senior management.
  • Perform project planning for business growth opportunities as directed by the Co-CEO and President of Patient Wellness.
  • Memorialize and establish the Marketing and Promotions strategy to include the development of branding, digital operation, Social Media to encompass LinkedIn, Insta, Facebook, X, Indeed and other social medial and job board development.
  • Responsible for managing reception, vendors, and related activities, such as coordinating weekly patient load forecast, weekly growth, and production statistics, and establishing processes for efficient daily operations and communications.
  • Responsible for acting as configurator and SME for CRM integration, knowledge, and upkeep.
  • Point person for government agency visits planned or unplanned.
  • Endure building(s) is properly maintained and at regular peak function, establishing a preventative maintenance plan and database of vendors to maintain building operation. This includes all equipment inside the building covering patient care and non-patient care equipment.
