Job Description: Executive Administrative Assistant to Chief Growth Officer and Sr. Director of Operations & Client Service

Position Overview:

We are seeking a highly organized and proactive Executive Administrative Assistant to support the Chief Growth Officer (CGO) and Senior Director of Operations & Client Service at our fast-growing wealth tech company. The ideal candidate will play a critical role in supporting day-to-day operations, business development initiatives, client service, and various revenue-generating activities. This role requires exceptional multitasking skills, attention to detail, and the ability to work in a fast-paced environment.

Key Responsibilities:

1. Calendar & Schedule Management:

- Manage and coordinate complex schedules for the CGO and Sr. Director, including meetings, appointments, and travel arrangements.

- Ensure all scheduling conflicts are resolved and meetings are effectively prioritized.

- Prepare meeting agendas, take minutes, and follow up on action items as required.

2. Business Development Support:

- Assist in the coordination of business development initiatives, including market research, client outreach, and lead tracking.

- Support the preparation of presentations, proposals, and reports for client pitches and internal meetings.

- Facilitate communication between the business development team and other departments to streamline processes and follow-up.

3. Client Service & Operations:

- Assist in managing all aspects impacting both new and existing clients, ensuring timely follow-up and problem resolution.

- Support client onboarding and provide administrative assistance during client service engagements.

- Collaborate with marketing on organizing client visits, events, and meetings, ensuring all details are managed effectively.

4. Marketing & Event Support:

- Work with the marketing team to coordinate logistics for client events, conferences, and on-site visits.

- Help with the development of client-facing materials and presentations for events and meetings.

- Maintain and update client and event-related data as needed.

5. Expense Management:

- Manage expense reports for the CGO, Sr. Director, and other relevant team members, ensuring timely submission and approval.

- Track and reconcile expenses related to business travel, client events, and marketing initiatives.

6. Data Entry & Reporting:

- Provide data entry and reporting support for various business development, operations, and client service activities.

- Maintain accurate and up-to-date records in CRM systems and other databases.

7. Contract Management Support:

- Assist with contract management and coordination across revenue areas, ensuring proper documentation and timely approvals.

- Support the creation, review, and tracking of client and vendor contracts, in collaboration with the legal team if necessary.

Qualifications:

- Proven experience as an executive assistant, preferably supporting senior executives in a high-growth, fast-paced environment.

- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.

- Excellent communication and interpersonal skills, both written and verbal.

- High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with CRM software (Salesforce or similar) is a plus.

- Ability to maintain confidentiality and handle sensitive information with discretion.

- Experience in wealth tech, financial services, or a related industry is preferred but not required.
