Duration:10 Months (with possibility of 2 months extension)

Working Hours: 40 hr/week, 7:45a - 4:30p HST (Monday- Friday)
JOB DESCRIPTION:
1. Receives and screens all visitors as well as incoming and outgoing correspondence. Determines appropriate distribution of materials.
2. Receives calls from the public, determines appropriate response. Gives direct factual information in response to specific inquiries. Refers participant calls to the local agency where they participate.
3. Receives calls and refers them to the appropriate State Agency staff.
4. Creates, edits, prints, stores, retrieves, and deletes documents using word processing, spreadsheet and/or other software, in draft or final form, from rough or corrected copy where format and arrangement are not clearly indicated.
5. Prepares and reviews forms, records, reports, memos, and other documents for accuracy, completion, and conformance to established requirements, processes documents in accordance with established policies and procedures.
6. Composes routine correspondence and letters of acknowledgement.
7. Searches through a variety of paper and electronic files and records, extracts, compiles and summarizes information and prepares periodic and special reports.
8. Assists with cleaning of the office and disposal of materials no longer needed.
9. Facilitates mailings and shipping of materials per supervisor guidance.
10. Attends staff meetings and other meetings as required.
11. Must be able to lift and carry 25 pounds.
12. Maintain confidentiality when dealing with internal topics and when handling client's personal information.
REQUIRED PROFICIENCIES
A. Knowledge
1. Correct English grammar, spelling, punctuation, and arithmetic.
2. Office practices.
3. Operation and maintenance of common office appliances and equipment (including computers, calculator, office duplicating and copying machines); Microsoft Office; Microsoft Outlook.
B. Skills/Abilities
1. Demonstrate ability to type accurately at a speed of at least 30 words per minute.
2. Demonstrate comprehension when reading and hearing oral and written instructions.
3. Demonstrate ability to articulate thoughts in a clear, thorough, and succinct manner.
4. Perform arithmetic computations quickly and accurately.
5. Demonstrate proficiency in the following Microsoft software: Word; Excel; Outlook, PowerPoint; and SharePoint.
6. Demonstrate proficiency using some type of virtual meeting platform, preferably MS Teams.
7. Understand, interpret, and apply pertinent policies, procedures, laws, rules, and regulations.
8. Interact with others in a tactful and polite manner.
9. Organize workload, set work priorities, meet deadlines, and work independently.
