Position: Executive Assistant

Status: Exempt

Location: NHSSN Corporate Office

Start Date: January 20, 2025

Primary Functions: The Executive Assistant will directly support the Chief Executive Officer and provide assistance to the C-suites and NHSSN Leaders. The position requires initiative, critical thinking, and independent decision-making skills. The professional must be able to make a commitment and keep it, be trustworthy, dependable, respectful, solution-oriented, and open to learning.

Specific Responsibilities

- Oversee day-to-day office functions, including screening and answering incoming calls, scheduling meetings, maintaining and ordering supply inventories, and processing mail.

- Must have the ability to manage CEO's calendar

- Facilitate and schedule meetings with clients/funders/vendors both present and future

- Assisting with human resources, this may include payroll, onboarding new staff, facilitating recruitment efforts as needed for the company, and maintaining employee files in paper and digital form.

- Primary contact with NHSSN's IT vendor. The candidate must demonstrate a basic understanding of IT to determine if the issue is a user or system error.

- Greet NHSSN visitors, answer inquiries, and create a welcoming environment.

- Provide support in compiling department reports and taking minutes for Team and Board/Committee meetings.

- Assist with the preparation of the annual budget

- Must be able to demonstrate exceptional customer service and phone etiquette skills.

- Handle sensitive and extensive confidential information

- Acts as the first point of contact for the executive team, up to and including scheduling meetings. Responsible for arranging travel schedules and reservations for NHSSN team members

- Prepares and maintains administrative processes and policies

- Performs additional duties as assigned by the CEO

Minimum Qualifications / Education Requirements:

- Preferred bilingual in English and Spanish.

- Excellent verbal communication and customer service skills.

- Be able to pass a background check.

- Exemplary planning and time management skills

- Must have own vehicle and the ability to travel to various offsite locations

- Ability to travel out of town and/or state for training opportunities, as needed.

- Full knowledge of office management systems and procedures

- Must be technologically savvy, be able to learn new platforms easily, and have good working knowledge of MS Office products.

- Ability to multitask and prioritize daily workload

- Have excellent organizational skills, attention to detail

- High-level verbal and written communication skills

- Discretion with personal and confidential information

Work Direction: Reports directly to the Chief Executive Officer

Physical Effort: Requires the ability to exert some physical effort, such as walking, standing, and light lifting; the minimal skill of using fingers, limbs, and body to operate office equipment. It may require extended periods of standing or at a computer terminal.

Office Hours: 7:00 am - 5:30 pm with a half-hour lunch break. Monday - Thursday. Full Time. 40 hours per week. This position may require some nights, evenings, or weekends to attend community events for specific projects or reporting requirements.

Salary Range: $50k - $65k
