Role Overview
The Executive Assistant plays a critical role in ensuring the CEO's priorities are met and deadlines are achieved, all while maintaining a meticulous standard of excellence. This role involves managing the CEO's schedule, communications, and administrative tasks to allow her to focus on strategic priorities. The Executive Assistant must exhibit exceptional attention to detail, proactive problem-solving, and an unwavering commitment to meeting business needs.
Key Responsibilities
CEO Support
Manage the CEO's email, calendar, and travel arrangements.
Schedule meetings and ensure timely communication responses.
Act as a gatekeeper, anticipating needs and aligning schedules with business priorities.
Team Administrative Support
Coordinate travel arrangements for team events, including out-of-town photoshoots.
Office Administration
Order office supplies and snacks.
Plan and coordinate office events.
Manage gift orders and book conference rooms as needed.
Accounting Assistance
Process and track client invoices to ensure timely payment.
Follow up on overdue invoices as required.
Hiring & Onboarding
Post job descriptions, review resumes, and schedule interviews.
Complete background checks and assist with onboarding tasks like setting up direct deposits and training schedules.
Marketing Support
Assist in creating marketing materials for conferences and events.
Develop social media content and order branded materials.
Podcast Coordination
Manage podcast logistics, guest schedules, and episode descriptions.
Post episodes on relevant platforms to ensure seamless distribution.
Sales Assistance
Support CEO with email templates, prospecting workflows, and social media audits.
Manage HubSpot workflows and prospecting spreadsheets.
Process Development
Continuously refine processes to enhance operational efficiency.
Develop new procedures aligned with business growth.
Qualifications & Skills
Bachelor's Degree in business administration, communications, marketing, management, or a related field.
3-5 years of experience in an administrative role, preferably with high-end clientele.
Strong verbal and written communication skills.
Ability to thrive under pressure and manage multiple tasks effectively.
Exceptional attention to detail and organizational skills.
Proficiency in office tools (Microsoft Office, Google Workspace) and project management systems (Monday.com, Notion, HubSpot).
Discretion in handling sensitive information.
Problem-solving and adaptability in dynamic work environments.
Customer service orientation and team collaboration skills.
Mastery in time management to meet strict deadlines.
Compensation & Benefits
Contract position: 20-25 hours per week.
Hourly pay: $20-$35, based on experience and references.
Remote or in-office work from Dallas, TX.
Flexible hours, Monday-Friday (tasks must align with business hours: 8 AM-6 PM CST).

Full-time team members work in-office on Tuesdays and Thursdays and remotely on other days.
