Position Overview

The Project Manager at Truscott Rossman will be responsible for building efficient workflows, tracking work progress, facilitating status calls, and managing files. They work closely with a client director to ensure smooth and effective account management. This role will leverage generative AI tools to optimize project management processes and enhance productivity.

What you'll be accountable for

  • Build Workflows to Meet Timelines and Deadlines

Design and implement efficient workflows that ensure projects are completed on time and within scope. Break down complex projects into manageable phases, assigning responsibilities and setting clear milestones. Anticipate potential bottlenecks or challenges and proactively adjust workflows to maintain progress.

  • Track Asana Work

Maintain accurate and up-to-date project plans in Asana, ensuring all team members have clarity on tasks, deadlines, and priorities. Regularly monitor and update progress, flagging delays or issues as they arise. Use Asana as a tool to promote transparency, collaboration, and accountability across the team.

  • Facilitate Status Calls

Lead regular status meetings with internal teams and/or clients to discuss progress, address challenges, and align on next steps. Prepare clear agendas and summaries to ensure productive conversations and actionable outcomes. Foster open communication during calls to keep everyone informed and on the same page.

  • Quality Management

Act as the final checkpoint to ensure all deliverables meet the highest standards of quality and align with client expectations. Develop and enforce processes for quality assurance, including reviews and approvals. Provide constructive feedback to team members to drive continuous improvement and excellence.

  • File Management

Organize and maintain all project files, ensuring they are easily accessible, secure, and stored according to agency protocols. Implement naming conventions and folder structures that promote efficiency and prevent miscommunication. Regularly audit files to confirm they meet compliance and organizational standards.

Preferred Qualifications
  • Proven experience in project management within a communications or advertising agency.
  • Strong proficiency in using Asana or similar project management tools.
  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Effective communication and interpersonal skills, adept at facilitating team collaboration.
  • Experience with generative AI tools and their application in project management.

Reporting Structure

This role reports to the Project Management Department Director.
