We are looking for a talented Office & Facilities Manager to oversee our administrative operations and create a productive, well-maintained work environment that supports our team's success.
About the Role:
The Office Manager will oversee the day-to-day administrative operations and ensure smooth functioning of office facilities. This role manages office layouts, coordinates facility services, handles general scheduling and office duties. The Office Manager acts as a primary contact for vendors, employees, and visitors, ensuring that the office environment is well-maintained, efficient, and supports productivity.
Key Responsibilities:
Coordinate facility services such as maintenance, repairs, and cleaning across all office and warehouse locations
Oversee vendor relationships to ensure quality of service and negotiate contracts for facility-related services for cost efficiencies.
Manage office equipment, furniture, and supply inventory, including tracking, procurement, and maintenance schedules.
Maintain and track the inventory of technology devices, including laptops, monitors, and other equipment.
Develop and maintain office layout plans to optimize space utilization, support organizational, and elevate the appearance of our office locations.
Manage and maintain office calendars, scheduling for team meetings, company events, and conference room bookings.
Track and manage office budgets, monitoring expenses for supplies and facility services
Welcome and assist guests, ensuring a positive experience during visits to the main office.
Oversee projects to enhance employee spaces, including improving outdoor patios and communal areas.
Implement and use facility management tools and/or software to monitor and manage operations across locations.
Provide support to senior leadership, assisting with research, reporting, and administrative tasks (i.e. travel arrangements, scheduling).
Qualifications:
Minimum of 3 years of experience in office management, facilities management, or administrative roles.
High School Diploma required; Associate's or Bachelor's degree preferred.
Proficiency in Microsoft Office Suite and office management tools.
Strong organizational skills with excellent attention to detail.
Exceptional interpersonal and communication abilities, both written and verbal
Proven ability to manage competing priorities.
Experience negotiating service contracts effectively.

Additional Details:
Location: Fallbrook, CA
Work Environment: Onsite, with occasional travel to warehouse locations
Physical Requirements: Prolonged periods of sitting/standing and the ability to lift up to 25 pounds.
