Job Description:

Job Summary: The Senior Administrative Assistant is a crucial member of the team, providing high-level administrative support to multiple directors. In this role, you will be responsible for managing the day-to-day operations, coordinating schedules, and ensuring the seamless flow of communication across the organization.

Key Responsibilities:
  • Provide comprehensive administrative support to multiple directors, including scheduling appointments, arranging travel, and managing calendars.
  • Serve as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence in a professional and timely manner.
  • Assist with the preparation of presentations, reports, and other business documents, ensuring accuracy and attention to detail.
  • Coordinate and organize meetings, including preparing agendas, distributing materials, and taking detailed minutes.
  • Manage and maintain electronic and physical filing systems, ensuring the efficient storage and retrieval of important documents.
  • Collaborate cross-functionally to support various projects and initiatives, demonstrating a proactive and solutions-oriented approach.
  • Anticipate the needs of the directors and take initiative to address them, contributing to the overall efficiency and productivity of the team.
  • Maintain confidentiality and exercise discretion when handling sensitive information.

Qualifications:
  • Bachelor's degree or equivalent experience in a relevant field
  • Minimum 5 years of experience as a Senior Administrative Assistant or in a similar high-level administrative role
  • Exceptional organizational and multitasking abilities, with the capacity to prioritize and manage multiple tasks simultaneously
  • Excellent written and verbal communication skills, with the ability to interact effectively with individuals at all levels of the organization
  • Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other office productivity tools
  • Strong attention to detail and the ability to work independently with minimal supervision
  • Flexible and adaptable, with a collaborative mindset and a commitment to providing excellent customer service
