Job Summary: The Senior Administrative Assistant is a crucial member of the team, providing high-level administrative support to multiple directors. In this role, you will be responsible for managing the day-to-day operations, coordinating schedules, and ensuring the seamless flow of communication across the organization.
Key Responsibilities:
Provide comprehensive administrative support to multiple directors, including scheduling appointments, arranging travel, and managing calendars.
Serve as the primary point of contact for internal and external stakeholders, handling inquiries and correspondence in a professional and timely manner.
Assist with the preparation of presentations, reports, and other business documents, ensuring accuracy and attention to detail.
Coordinate and organize meetings, including preparing agendas, distributing materials, and taking detailed minutes.
Manage and maintain electronic and physical filing systems, ensuring the efficient storage and retrieval of important documents.
Collaborate cross-functionally to support various projects and initiatives, demonstrating a proactive and solutions-oriented approach.
Anticipate the needs of the directors and take initiative to address them, contributing to the overall efficiency and productivity of the team.
Maintain confidentiality and exercise discretion when handling sensitive information.
Qualifications:
Bachelor's degree or equivalent experience in a relevant field
Minimum 5 years of experience as a Senior Administrative Assistant or in a similar high-level administrative role
Exceptional organizational and multitasking abilities, with the capacity to prioritize and manage multiple tasks simultaneously
Excellent written and verbal communication skills, with the ability to interact effectively with individuals at all levels of the organization
Proficient in Microsoft Office suite (Word, Excel, PowerPoint) and other office productivity tools
Strong attention to detail and the ability to work independently with minimal supervision
Flexible and adaptable, with a collaborative mindset and a commitment to providing excellent customer service
