Job Description

The Program Coordinator primarily supports all aspects of office administration and coordination of the work of the Associate Dean of Inclusion and Engagement, the Director of LGBTQ+ Programs and Services, and the Director of the Office of Student Success. The responsibilities include coordinating events from beginning to end, managing the day to day administrative operations of the Office of Intercultural Education, the Penthouse, and the Office of Student Success, directing communications, updating the websites, budget and fiscal management, coordinating space reservation of the Penthouse and the Intercultural Education lounge, managing short and long term projects including event logistics, and supervising work-study students. The position requires flexibility in work hours to occasionally support and staff evening programs. This is a 100% on-campus position.



Position Responsibilities:


  • Coordinating events, including but not limited to reserving space, contracting with food and other vendors, creating and managing publicity, staffing the event or coordinating and overseeing student staffing for the event (Position requires some flexibility of work hours to accommodate occasional support for and the staffing of evening programs).

  • Managing the day to day responsibilities of the office: answering telephone and email inquiries and directing communications, maintaining electronic files, managing social media, calendar management, coordinating space reservations for the Penthouse and the Intercultural Education Lounge, and ordering and maintaining stock of office supplies.

  • Budget and fiscal management: responsible for processing all budgetary transactions in a timely manner, reconciling the budgets, and providing counsel to supervisors regarding spending within the budget.

  • Technological support: Maintain OICE's, LGBTQ+ Programs and Services, and Office of Student Success websites, prepare or oversee the development of program/event advertisements to be used on email lists, social media platforms, and printed posters/brochures.

  • Supervising student workers: coordinating schedules, assigning tasks, monitoring work, approving time sheets and assessing performance.

  • Serve as a back up to other Program Coordinators in the Inclusion and Engagement area.

  • Other duties as assigned by the Dean of Inclusion and Engagement and/or the LGBTQ+ Programs and Services Director, and office of Student Success Director.

  • Other duties as assigned within the Division of Student Life.


Supervisory Responsibilities:

  • Work study student


Education Required:

  • Bachelor degree is required.


Experience Required:

  • Extensive experience in a high energy environment that required the ability to prioritize projects effectively

  • Demonstrated 2 - 5-year experience in working in an office, and within a diverse community setting preferred.


Skills and Abilities:

  • 2 - 5 years expertise in office and event management;

  • Computer skills in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher, Access), Workday, Handshake, Adobe Photoshop, Drupal, Google Drive, social media (Facebook, Instagram, Twitter)

  • Ability to multi-task and oversee several projects at once.

  • Able to attend to detail while also being mindful of the big picture.

  • Strong oral and written communication skills. Able to proofread and edit own material.

  • Strong interpersonal skills; understanding of the higher education environment; and sensitivity to and ability to work within a highly diverse community.
