About the Role:
We are seeking an Accounting Assistant to join our team. This role primarily supports the accounting department with tasks in accounts payable, billing, and purchase order management. Additionally, this position will provide occasional clerical and administrative support to ensure smooth office operations.
Key Responsibilities:
Accounting Duties:
Process and manage purchase orders, ensuring accuracy and timely entry into the system.
Handle accounts payable tasks, including invoice review, coding, and filing.
Assist with billing-related tasks, including data entry and reconciliation.
Support the preparation and submission of change order requests, including pricing and database updates.
Update and maintain job cost records and related documentation.
Verify, track, and process vendor and subcontractor invoices.
Administrative/Clerical Backup:
Sort and distribute field and office documents, ensuring proper filing and scanning.
Manage inventory for office supplies and coordinate orders as needed.
Greet guests and handle front desk responsibilities, ensuring visitors are directed appropriately.
Assist with mail distribution and preparation of shipping/deliveries.
Qualifications:
Previous experience in accounting or a related field, with a focus on accounts payable and billing.
Proficiency in Microsoft Office Suite, particularly Excel.
Strong attention to detail and organizational skills.
Ability to manage multiple tasks and prioritize workload effectively.
Familiarity with construction or job costing is a plus but not required.
