Description: Job Summary

The Belfer Center has an immediate opening for a Program Coordinator for the Emerging Technology, Scientific Advancement, and Global Policy Program. This position will support program leadership to execute the research and convening activities of the program.

The Program Coordinator will work under the supervision of the Associate Director of the program in all tasks. The Program Coordinator will organize and execute core research activities and events, support the financial administration of the program, and collaborate with the Belfer Center operations, finance, and communications teams. We are seeking a candidate who can integrate seamlessly with the Belfer Center community and collaborate with colleagues across Harvard Kennedy School (HKS), the University, governments, and the private sector. This role requires maturity, tact, and diplomacy in all interactions; good judgement is essential to this role.

Position Description

Responsibilities for this position will include (and are not limited to):

  • Programming and events:
    • Carry out logistical duties to support all events and programs held by the program, including by arranging room bookings, catering, invitations, speaker travel, and associated payments.
    • Programming will include, but is not limited to:
      • A Tech Policy Exchange to address the need for leaders conversant in both technology and public policy.
      • Regular convenings to produce substantial reports with analysis and recommendations, or to further gain insights on current developments, challenges, and opportunities in technological fields with clear geopolitical implications, and to discuss or present reports an other program outputs.
      • Student engagement, including supporting student interest groups or programming ideas consistent with the program's substantive priorities; working with the Program Director to manage student RAs; and managing office hours requests for the Program Director or program fellows.
  • Fellowships and Grant Awards:
    • Assist in administering the Technology and Geopolitics fellowship program, including facilitating the process for recruiting, selecting, and onboarding research fellows. Assist selected fellows with their administrative needs throughout the fellowship cycle, such as making arrangements for fellows' seminars.
    • Assist in administering grants offered by the program, including facilitating the grant application and selection process by tracking and organizing applications, and supporting the review and deliberation process among faculty reviewers.
  • Communications:
    • Assist in coordinating production and distribution of publicity materials for events and program opportunities on the Belfer Center's website, email campaigns, social media, posters, and targeted internal communications. Keep the program's webpage on the Belfer Center website up to date.
    • Work closely with the Center's communications team to disseminate the program's outputs.
    • Maintain contact databases (email listservs, invitation lists, lists of students, and lists of relevant outside contacts).
  • Finance, Travel, and Administration:
    • Manage calendars, arrange individual meetings and appointments, and coordinate travel for the program leadership.
    • Process speaker reimbursements and payment for internal and external partners.
    • With oversight from program leadership, engage vendors or sub-contractors to support events, publications, or other program activities.
    • With guidance from program leadership, coordinate visits of guest speakers and fellows, as well as travel of program leadership.
    • Other administrative and clerical duties as assigned.
  • Other:
    • Coordinate with the rest of the Belfer Center; and
    • Other duties as required.


Basic Qualifications

  • Minimum of 3 years of work experience in program administration/management, event planning, operations, or academic administration.


Additional Qualifications and Skills

The following are preferred:

  • Degree in a relevant field (e.g., public policy, international affairs, technology issues, etc.).
  • A demonstrated interest in or experience with technology issues, public policy, and international affairs.
  • Ability to prioritize to meet tight deadlines in a fast-paced, high-energy, and constantly changing environment.
  • Proven ability to multitask while maintaining excellent attention to detail.
  • Exceptional writing skills; basic quantitative proficiency; and a demonstrated ability to work with minimal supervision under tight deadlines.
  • Highly adaptable with proven track record of successfully functioning in a complex work environment.
  • Experience with MS Excel, Salesforce, Marketing Cloud, Buy 2 Pay, Concur is also a plus.


Additional Information

This position is a fully benefits-eligible term appointment ending two years from date of hire, with strong possibility of renewal/extension.

Evaluation of qualified candidates may include a written assessment exercise which may be followed by competency-based interviews with the Belfer Center Program Manager and Director.

The Belfer Center for Science and International Affairs is the hub of Harvard Kennedy School's research, teaching, and training in international security and diplomacy, environmental and resource issues, and science and technology policy. It will assemble experts from diverse backgrounds - academic, practitioner, public sector, and private sector - to consider a full range of questions related to technological advances and national security.

A core objective of this program will be to address the strategically consequential talent gap of those who are "bilingual" in the worlds of both policy and tech. It will explore what capabilities are necessary in government, academia, and the private sector to best grapple with questions at the intersection of technology and national security in the decades to come.
