Job Summary:


The Event Coordinator is responsible for coordinating high-quality events for Jax State, our alumni networks, and the alumni association. The Event Coordinator will work with the Director of Alumni Engagement, the Assistant Director of Alumni Engagement, and the Associate Director of Annual Giving to maximize alumni, community, student, faculty, and staff engagement. The Alumni Events Coordinator is responsible for the planning, implementation, and logistical support for all functions, special events, and programs (either on or off campus) facilitated or sponsored on behalf of the Alumni Engagement Office, from inception to completion. Position will be expected to attend all events. This position will involve occasional evening and weekend commitments as well as travel.



Duties and Responsibilities:


  • Assists with planning and executing special engagements and events

  • Organizes logistics of events, to include researching appropriate event venues and other needs

  • Assists with coordinating promotional materials and invitations

  • Organizes detailed lists of attendees

  • Works collaboratively with the alumni engagement team to widen participation of alumni to help foster interaction between alumni and the Jax State Community

  • Coordinates a balanced program of events to enhance the scope of Jax State across all platforms to reach and engage our alumni

  • Performs high level administrative and technical support duties

  • Negotiates and secures rental of equipment, supplies, and materials needed to facilitate events and programming

  • Conducts final inspections on the day of the event to ensure everything adheres to the established guidelines and standards

  • Assesses overall success of events

  • Maintains a comprehensive events calendar

  • Supports JSU's brand as the "Friendliest Campus in the South"

  • Performs other duties as assigned.


  • Required Minimum Qualifications:


  • Bachelor's Degree

  • Minimum one (1) to two (2) years' experience (volunteer organizations accepted) in hospitality, event planning, public relations, communications in industry, corporate, non-profit, or higher ed.


  • Preferred Qualifications:


  • Bachelor's Degree in hospitality, event planning, public relations, or communications

  • Two (2)- Four (4) years' experience in industry or higher education

  • Extensive knowledge of fundamental concepts, practices, and procedures of event planning and coordination

  • Ability to work effectively and make informed decisions

  • Outstanding vendor management, logistics, organizational, and time management skills
