Ultimate Staffing is seeking experienced and driven Executive Assistants for opportunities in the Northern Virginia area! We are looking for an initiative-taking, detail-oriented professional to provide a high level of administrative support to a team of senior executives. You will play a vital part in supporting various projects and programs.
Responsibilities
Provide comprehensive administrative support to leadership team including the management of their travel, expense, calendars, meeting and call scheduling, document preparation, and outgoing communications
Partner with leaders to develop and schedule meetings, trainings, and activities, such as in-person meetings, and semi-annual meetings
Attend meetings, take detailed notes, and prepare initial drafts of minutes and summaries
Lend administrative support to special marketing projects and programs including in-house training, new market research, reoccurring marketing meetings, tracking financials for new market sector projects and other various administrative tasks
Build strong working relationships with other administrative staff and senior leaders
Qualifications
High school diploma and a minimum of 5 or more years of relevant experience supporting a senior executive team
Excellent written and verbal communication skills and an ability to build working relationships at all levels of the organization
Proficiency Microsoft Office Suite, including Word, Excel, PowerPoint, OneNote, and Outlook
Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
An aptitude for learning new software and systems, and the ability to thrive in a fast-paced work environment
Strong attention to detail
Ability to work independently and collaboratively as part of a team
Problem-solving mindset, with a resourceful can-do attitude
Flexible team player, willing to adapt to changes
